Responsibilities
General
Ensure compliance to Company’s policies, practices, and procedures related to Health and Safety, Food Safety, and the Environment
Provide exceptional site services support through sound judgement and timeliness
Create a warm, safe, and welcoming environment that visitors and employees will thrive in
Contribute to and enhance culture and the work environment
Site Services
Perform all reception duties such as greet visitors, direct contractors, corporate shipping/receiving, answer phones, emails, ordering facility and office supplies/equipment, running errands and handle incoming correspondence from customers, suppliers, or partners in a timely and professional manner
Manage contracts and maintain relationships with facility vendors, such as cleaners, uniform providers, couriers, caterers, building security, etc
May assist with distributing mail and arranging courier shipments
Ensure office supply cabinet is fully stocked, and complete special office supply orders as requested
Facilitate a safe work environment by ensuring site security policies and protocols are followed
Ensure Immersion Room is kept clean, organized, and stocked
Communications
Create, update, and maintain signage, bulletin boards, PowerPoint presentations and other communications around the facility related to Human Resources and Operations
Manage & complete orders for swag as requested
Event Coordination
Plan and executing corporate events including, but not limited to corporate celebrations, holiday events, monthly employee lunches, and other corporate events
Human Resources
Conduct pre-screening for candidates, arranging/conducting interviews, setting up pre-employment testing and background checks, send communications related to candidate follow up, and maintain recruitment related trackers, etc
Provide exceptional support to the business through strong administrative practices, follow up and acting in a timely manner
Displays sound judgement with respect to referring employee relations challenges to Human Resources Generalist or Human Resources Manager
Maintain employee roster ensuring it is up to date
Email managers/supervisors new hire 30, 60, 90-day performance reviews
May support HR Manager in creating other employee communication documents
Instruct interested applicants of application process
Track HR metrics
Other
Any other duties as assigned
Requirements
Bachelor’s Degree or equivalent in relevant work experience
Must be creative and solution oriented
Ability to effectively partner with all levels of the organization and positively influence others
Proven planning and organizational skills, attention to detail, ability to handle multiple tasks
Outstanding written and verbal communication
Must be proficient in Microsoft Suite and able to learn how to utilize Company HRIS system
Must be a self-starter, tenacious, driven, and comfortable managing a high-volume workload in a complex and changing environment
Conducts one-self in an ethical, honest, and trust-worthy manner. Ensures employee privacy and confidentiality
Must always present oneself as professional in appearance
