POSITION SUMMARY
The Manager of Data & Projects ensures the student information system (SIS) and educational platforms contain high-quality, accurate, timely, and longitudinal student information. S/he will collaborate with school leaders to ensure that the school’s data management is responsive to the needs of all stakeholders. S/he will also support student enrollment, IT management, and other special projects as assigned.
ESSENTIAL DUTIES & RESPONSIBILITIES
Data Management:
Responsible for the management of student data contained in the SIS (PowerSchool);
Responsible for the accuracy of student data that flow from SIS/is uploaded/reported to OSSE and PCSB, as well as the accuracy of the data calculations used for school accountability;
Supports the completion, accuracy, and timely submission of all high-stakes data and compliance submission and verification projects;
Ensure dissemination of records to oversight bodies or government agencies are accurate and compliant with deadlines;
Coordinate regularly with SPED, ELL, and assessment personnel to ensure student data are accurate in all applicable systems and rosters, and ensure discrepancies and errors are being resolved;
Manage data transfers and data maintenance in all enrollment and registration systems;
Information System Management & Curricular Platforms:
Manage the creation of the master schedule in PowerScheduler in conjunction with Instructional Leadership and Counseling teams; ensure the schedule meets the needs of credit completion for all students to be on track for graduation;
Support in the creation and management of data tools that help Instructional Leadership and Counseling teams make decisions regarding the school schedule, intervention needs, and other initiatives to drive and support student achievement;
Coordination with and support of all Chavez SIS users, including timely response to requests for support;
Responsible for creating and maintaining required and requested templates and reports, including communication, progress report, and report card templates;
Coordination with the Instructional Leadership team to ensure the accurate and timely distribution of report cards;
Coordination with educational and student behavioral platforms, including Clever, DeansList, and other Ed Platforms, to set up beginning-of-year syncing, ensuring students and staff have access to the appropriate portals;
Work with IT vendor to create and monitor student email addresses and support with student password resets;
Information Technology Management:
Create, in collaboration with the contracted IT firm, classroom technology inventory systems;
Manage the distribution and collection of student devices for home use;
Provide in-person support to staff who require basic troubleshooting or a temporary device;
Liaise with the contracted IT firm on the needs of the organization and participate in the weekly calls;
Assessment Management:
Support the leadership team in creating state-mandated test schedules, including but not limited to NWEA MAP, Districtwide ELA, Math and Science assessments, WIDA/ACCESS testing, and DC Health and Physical Education tests.
Manage the creation of testing rosters and systems for all online testing portals mentioned above.
Lead preparation of testing materials and distribution before, during, and after testing is complete.
Assist with the development of/and or implementation of professional development to prepare for assessment cycles.
Additional Responsibilities:
Support with creating the re-enrollment timeline, processes, and systems, coordinating with key school staff as needed;
Collaborate with the Director of Student Life and Family & Community Engagement on the new student enrollment timeline, processes, and outcomes;
Report regularly to the Senior Leadership Team on enrollment data, benchmarks, and outcomes.
Manage the school’s website, including regular updates and maintenance as needed;
Draft office documents such as letters, reports, flyers, robocall messages, and presentations as needed.
Performs clerical tasks such as filing, typing, photocopying, collating, and distributing materials.
Liaise with the school IT vendor to ensure students and staff have access to the technology and platforms required for academic success.
Assist with managing the inventory of supplies to support the academic program.
Complete special projects at the request of the school’s leadership team.
QUALIFICATIONS, KNOWLEDGE AND SKILLS REQUIRED
Bachelor’s Degree in a related field, 3 to 5 years working experience in schools.
Knowledge of student information systems preferred, ideally PowerSchool
Experience in data collection, analysis, interpretation and reporting
Strong written and verbal communication skills, attention to detail, ability to maintain confidential information and willingness to learn.
Excellent organizational skills, ability to work under pressure and to meet established timelines and deadlines; strong follow-through and ability to efficiently execute complex tasks
Strong proactive approach to problems and issue resolution; identifies issues, inconsistencies and improvements timely and independently.
Ability to work independently with little direct supervision and as part of a team.
ADA SPECIFICATIONS: This position will be based at the Chavez Parkside location. While performing the duties of this job, the employee is regularly required to move about the building. In addition, travel to other sites could be required, frequency to depend on the needs of the school and position. The employee is regularly required to speak audibly, see, listen actively, and use hands to handle objects while performing the duties of this job. This position requires the ability to use standard office equipment such as computers, phones, and filing cabinets.
