Chicago Commons, a non-profit organization has a temporary position as a filing clerk. The ideal candidate will temporarily support our Senior Care Department in a special project, organizing documentation and updating the current filing system.
Education & Certification Requirements
- High School Diploma or equivalent, AA preferred.
- Min 1 year of experience in an office environment.
Experience & Training Requirements
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required:
- Proven ability to develop filing processes
- Ability to speak, read, and write in English and Spanish
- Candidates must be proficient in Office 365
- Ability to gather data, compile information, and prepare reports.
- Ability to analyze and solve problems.
- Ability to create, compose, and edit written materials.
- Strong affinity for customer service.
- Excellent organizational and time-management skills.
- Ability to work in a fast-paced environment.
- Complete all current and ongoing filing. Prepare update reports weekly regarding the status.
Essential Job Requirements & Duties
- Produce reports, and lists as needed.
- Ability to stand, walk, reach with hands and arms or and stoop as needed to file and retrieve documentation from department staff as needed.
- Ability to manage multiple projects simultaneously
- develop a filing system that will ensure files are organized and meet departmental compliance requirements.
- Able to audit files and identify outstanding documentation.
- Partner with the department lead to update all files.
- Always protect and maintain confidential information.
- Be able to meet assigned due dates
- Ensure all information to be filed is sorted, organized, and easy to retrieve when needed.
- Able to convert documents into an electronic version.
- Support with some clerical office duties.
- Provide excellent internal and external customer service.
- Ensure timely submission of all data entry into department databases
- Establish and maintain positive, professional relationships with coworkers, administrators and clients served.
- Performs other projects and duties as assigned.
Physical Requirements
The physical demands described here are representative of those that must be met by an employee to successfully perform. While performing the duties of this job, the employee is regularly required to speak and read English proficiently. The employee must regularly operate a word-processing system and therefore must be able to read, produce and transmit data on such a system. The employee frequently is required to stand, walk, reach with hands and arms, and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 15 pounds. Specific vision requirements include the ability to see at close range.
