General Description
The Director of Quality Assurance reports directly to the Director of Finance and may report to the Executive Director for certain projects to ensure that the agency is implementing high-quality services in all programs. This position is responsible for reviewing, collecting, and assessing data through IDHS, OHS, PFA, PFA-E, and agency operational units. Additionally, this position will be responsible for health safety for all facilities, IT, and inventory control. May be required to attend community meetings and provide training to staff.
Duties and Responsibilities
- Work with the Executive Director to provide overall agency strategic plans regarding upgrades in operational facilities management.
- Develop and implements strategies that will maximize the delivery of services at 100% compliance across program areas.
- Facilitate the coordination of safety training, procedures for staff and volunteer emergency preparedness training and practice evacuation drills for agency.
- Assist in preparing a procedure/plan to contact childcare providers within the SDA should an emergency occur.
- Responsible for the implantation of safety plan for agency should an emergency occur.
- Assist in placing a procedure to assist childcare program with referrals when a disaster/tragedy occurs.
- Act as point of contact for replacing toner, drum units, and request for all agency printers and copiers as well as assuring paper & supplies are in stock.
- Establish and maintain strong outside relationships and communications with maintenance firms and outside contractors to coordinate any work needed.
- Assure all facility requests and projects are completed as related to office space and storage.
- Maintain agency’s overall inventory list to ensure compliance with funders. Serve as liaison with vendors and process agency purchase orders.
- Maintain confidentiality and high ethical practices and integrity. Generate reports from all agency databases and data systems, ensuring accurate information and timely reporting in accordance with the agency and its programs (IDHS, EHS, etc.) Mission, Performance Standards and Policies and Procedures.
- Creates data driven reports to management team: submit weekly, quarterly and annual performance/productivity reports of programs on inventory, equipment and vehicles.
- Provide statistical reports on programs and services within the agency, and to community collaborations or specific to outside data requests as per agency policies and procedures.
- Research, record, and analyze data in relation to the agency and its programs (IDHS, EHS, etc.).
- Analyze follow-up data on outcomes and levels of satisfaction of families who have contacted the agency for help in searching for childcare.
- Submit data reports weekly and monthly outlining IDHS program statistics for Provider Services, CCAP, and Health & Safety Monitors to management team (e.g. reports, trainings completed, etc.).
- Provide agency data reports for each program to the Executive Director for the Annual Report.
- Prepare reports on program services, statistics and outcomes for various funders, partners, staff members and other parties as needed or requested by Executive Director.
- Assure the quality and timely submission of all programmatic reports and processing of all paperwork as defined to Executive Director.
- Responsible for processing IT technology and equipment repair requests.
- Maintain agency’s inventory list to ensure compliance with funders. Serve as liaison with vendors and process agency purchase orders.
- Ensure the rentals and leases of equipment for the agency's Programs.
- Ensure that company property is stored and transported as necessary.
- Work collaboratively with all departments and consultants to ensure quality services are provided to our clients and organization.
- Participates as a member of the management team with agency program development, development and maintenance of agency procedures and cooperative/collaborative program service throughout the agency. May be responsible for working directly with directors on proposals, grants and development.
- Work in conjunction with directors of the agency’s program staff as it relates to both program and administrative matters; ensure that assigned staff members implement program services and handle administrative responsibilities in accordance with agency polices and funder guidelines. Cultivate existing relationships with service providers with the goal of ensuring resources and access to services to clients.
- Assist the development and writing of the community needs assessment is completed for Early Head Start.
- Assist with coordinating and preparing for agency meetings, including but not limited to arranging time and place, sending correspondence, recording minutes, and as appropriate arrangement of food service.
- Attend various community networking meeting in the communities served to help develop positive awareness of the importance of high-quality Early Childhood Education programs and to promote the agency.
- Assist with agency growth and fund development.
- Participate and attend the agency’s fund raising and advocacy events.
- Perform other duties as assigned.
Performance Measures
- Meeting timelines for agency reports.
- Assure all CORE areas of job specifications have files, tracking sheets and documentation for agency compliance.
- Provide weekly statistical data reports as required or requested for specific programs.
- Facilitate or coordinate at least two agency trainings and safety trainings every quarter.
- May be required to ensure licensing, accreditation, city state and local compliance.
- Maintains strong professional relationships with all agency departments.
- Treats customers with courtesy and respect.
- Assure professional conduct as stated in the agency policy and procedures.
Education and Experience Requirements
− Master's Degree in Business, Social Services, Early Education, Liberal Arts or Public Administration with 5 years’ experience working with data and research.
− Computer proficiency in Microsoft Excel, Word, Outlook; strong/accurate data search/entry skills. Advanced Excel preferred.
− Experience in Education, Early Childhood and Family Consumer Science highly desirable.
− Must have strong written, verbal, and digital skills and can communicate effectively.
− Demonstrated computer, data entry, statistical analysis experience.
− Ability to use good judgment and work under pressure.
− Ability to work cooperatively with individuals from various education, socioeconomic, and cultural backgrounds.
− May be required to travel locally and attend occasional evenings and weekend meetings.
− May be required to carry, lift, or move equipment, materials, or supplies weighing up to 40 lbs.
− Ability to adapt to change in policies in a positive manner.
Job Type: Full-time
Pay: $45,000.00 - $50,000.00 per year
