What are the responsibilities and job description for the Human Resources Assistant position at Children's Aid?
The Office of Talent Management and Human Resources (TMHR) at Children’s Aid supports the organization’s workforce through an array of functions. Reporting to the Manager of HR Compliance, the Human Resources Assistant – Compliance will support the function with a primary focus on the background clearance process and maintenance of information, and other areas as needed.
Responsibilities:
Support the employee background clearance process (75%)
- Submit online investigation requests through various New York City, New York State, and federal agencies, such as SCR, DCJS, and NSOPW.
- Update and maintain databases, including a Microsoft Access database.
- Maintain electronic data and record keeping systems for clearances.
- Request and reconcile background clearance funds.
- Track use of Agency checks for SCR submission.
- Support the changing compliance around background check needs and assist with implementation.
Pre-employment and Compliance (15%)
- Create and book fingerprint appointments for both part-time and full-time employees, and provide additional support when necessary.
- Run education verification clearances when applicable.
- Work with programs to assist in Compliance audit-related requests and inquiries.
- Share responsibilities for responding to categorized communications within a general email mailbox.
- Send paperwork requests via Adobe Sign.
Ad-hoc (10%)
- Participate in special projects and initiatives to improve operational efficiency, and other tasks/assignments as needed.
Qualifications:
- High School Diploma or GED required, Bachelor’s degree preferred.
- 2 years of work experience; some experience in HR preferred.
- Proficient in Microsoft Office applications, particularly Outlook, Excel, and Word. Microsoft Access and Adobe Acrobat Pro experience a plus.
- Strong attention to details.
- Highly organized and task oriented, with the ability to prioritize in a fast-paced setting.

- Comfortable with uncertainty and changing needs.
- High standards of ethics with the ability to handle sensitive and confidential information.
