The EHR Systems Analyst is responsible for planning, developing, and implementing our Electronic Health Records system(s) and for the day-to-day operational activities, which includes system administration, configuration, integration, documentation, training, and support. The EHR Systems Analyst works closely with the internal stakeholders, system users, and vendors/consultants for project implementation activities and for the on-going evolution of the EHR system. This position participates in regulatory compliance activities as it pertains to system design, functionality, and security of client data. This exempt position reports to the Director of Information Systems.
Primary Duties and Responsibilities:
The EHR Systems Analyst will perform various duties related to the agency's Electronic Health Records system(s). Listed below are the primary duties and responsibilities required for this position.
Every effort has been made to make this job description as complete as possible. However, the EHR Systems Analyst may be required to perform other related duties and activities within the Information Systems Department.
To perform this job successfully; you must be able to perform each of the following always satisfactorily:
- Administers the Electronic Health Record system daily operational activities, including project implementation work, configuration, maintenance, training, and support. This includes independent decision-making for proper setup and configuration.
- Solicits, gathers, documents, and analyzes user requirements to build the EHR system in a manner that is efficient and meets both users’ process flow needs and management’s reporting/data analysis needs. Performs thorough testing to ensure that design/configuration meets specified requirements. Creates process flow diagrams and reference documentation, as needed.
- Works independently and collaborates with key system users to analyze existing procedures, processes, and workflows. Uses analytical judgement to make recommendations and decisions for enhancements or improvements independently and collaboratively within the department. Maintains knowledge of system upgrades, business process flow changes, and regulatory updates by attendings vendor webinars, reviewing documentation, attending internal and external meetings, and/or soliciting information directly from our business unit subject matter experts.
- Trouble shoots complex system issues and support requests to independently provide resolutions. Escalates support issues to the EHR vendor, as needed. Keeps management informed and updated for all system-wide and high-priority incidents. Communicates efficiently and effectively with management, end users, and external resources.
- Collaborates within the department, and at times will be the lead for various training activities, including training program development and implementation. This includes planning and creating the training course curriculum, presentations, and user guides.
- Responsible for fulfilling data reporting and output requests timely and accurately. Works closely with system interfaces/integrations for implementation, training, and support.
- Collaborates with management and Quality Assurance for internal and external system audits, reviews, reporting needs, and other compliance initiatives, as assigned.
- Collaborates within the department and agency to ensure our Electronic Health Record system(s) meets the Department of Mental Health (DMH), Council on Accreditation (COA), and other regulatory or contractual requirements.
- Promote the Continuous Quality Improvement (CQI) process by identifying quality indicators and opportunities for departmental and organizational process improvement.
- Maintain confidentiality of all pertinent client information.
- May perform other duties, as assigned, to meet department and/or agency goals.
Job Qualifications:
- Bachelor's degree in business administration, information systems, or related field; AND at least three years of directly related work experience. An equivalent combination of education and experience will be considered.
- Experience in an analytical or equivalent role working with the Welligent Electronic Health Record system implementation, maintenance, administration, training, and support.
- Relevant experience in the healthcare industry, behavioral health background a plus.
- Demonstrated experience with clinical and billing operations. Direct experience with Department of Mental Health (DMH) and Foster Care and Adoption programs is preferred.
- Moderate to Advanced knowledge and experience working with Microsoft suite of applications, including Outlook, Excel, Word, PowerPoint, Teams, and SharePoint.
- Experience with system integrations, custom report writers, and/or third-party interfaces.
