What are the responsibilities and job description for the Medical Assistant position at Children's Clinic?

JOB SUMMARY:

The purpose of our medical assistant (MA) position is to enhance patient care, improve patient flow, and increase the efficiency of the care team, allowing all members of the team to work to the top of their licensure. Broadly, the medical assistant will greet and room patients, take vitals, assist in updating the medical record, and provide administrative support to the nurses and providers in terms of documentation, tracking lab results, and completing prior authorizations.

This position will work with both care teams in an assigned pod on a full-time basis (roughly 40 hours per week) with a Monday – Friday work schedule. This position’s responsibilities will include:

MEDICAL ASSISTANT RESPONSIBILITIES:

1. MA participates in daily care team (supervising physicians, nurses, receptionist, scribe, and medical assistant) huddles.

2. MA greets patients and room them.

3. MA collects height, weight, and vital signs and enter them into the medical record.

4. MA updates allergy, current medications, preferred pharmacy, and related fields in the medical record.

5. MA will be responsible for constantly monitoring patient schedules to make sure patients are scheduled for the proper length of time as well as to determine if additional records, screens, or labs are required before the patient’s visit.

6. MA reports and documents normal lab results to patients after approval of the results by the supervising physician.

7. MA follows up on lab results of unresulted labs.

8. MA assists nurse with prior authorizations with insurance companies.

9. MA assists nurse in documenting vaccines into imMTrax.

10. MA schedules appointments with specialists and follows up on outstanding referrals, including obtaining reports.

11. MA helps stock room supplies and vaccinations.

12. MA will create and maintain a MA manual.

13. MA will assist in continuous quality improvement efforts with supervising physician’s care team.

14. MA does not participate in any patient education until properly trained and should refer all requests related to patient care to the responsible physician or nursing staff.

SECONDARY/SHARED RESPONSIBILITIES:

1. Assists in responding to patient calls, when appropriate.

2. Encourages patients to sign up for MyChart.

3. Schedule follow up appointments as needed.

4. Track chronic disease patients and assists in coordination of their care based on established care plans.

5. Other duties which may be assigned on an as needed basis.

REQUIRED WORK HABITS:

· Regular attendance.

· Punctuality with respect to arrival, lunch hour and shift end.

· Flexibility when necessary for overtime hours or with respect to changes in work environment.

· Ability to work as a member of a team, both within your direct care team (your supervising physician, nurse, receptionist, and scribe) and in respect to the nursing, receptionist, billing, and provider teams.

Be responsive to improvement opportunities in a positive manner.

QUALIFICATIONS:

· The ability to learn and successfully utilize new technology quickly including the Epic electronic medical records system, clinic telephone system, fax machine, and other computer programs or office technology necessary for delivering patient care.

· The ability to accurately document patient care using the Epic electronic medical records system following all applicable guidelines for documentation.

· The understanding of HIPAA regulations and ability to work while maintaining confidentiality and privacy in accordance with governing HIPAA regulations.

· The ability to multi-task including the organizational skills necessary to maintain and coordinate multiple forms and paper documentation related to patient care.

· The ability to maintain a professional demeanor at all times including when dealing with difficult patients or parents.

· The ability to work with children and families in a medical setting.

· The ability to calmly and professionally manage crises including being flexible and maintaining a customer service-oriented attitude while appropriately managing time, staying organized, and maintaining an attention to detail.

· The ability to problem solve and assist care teams in determining how your role can best improve the quality of care provided to patients.

PHYSICAL DEMANDS:

· Occasional standing for long periods of time, bending, stretching, squatting, and stooping is required.

Pay: From $18.50 per hour
