Job Title: Operations Manager
Overview: We are seeking a dedicated and experienced Operations Manager to join our team. The Operations Manager will be responsible for overseeing all operational aspects of the organization to ensure efficiency, effectiveness, and compliance with regulations. This role requires strong leadership, organizational, and communication skills, as well as a passion for supporting the mission of the Children's Museum of Montana.
Responsibilities:
- Strategic Planning: Collaborate with the Leadership Team and board of directors to develop and implement strategic plans for the organization's operations, ensuring alignment with overall goals and objectives.
- Financial Management: Manage the organization's budget, including forecasting, monitoring expenses, and reporting financial performance to the leadership team and board of directors.
- Grant and Contract Management: Oversee the administration of grants and contracts, including proposal development, compliance with funding requirements, and reporting to donors and funding agencies.
- Human Resources: Manage HR functions such as recruitment, onboarding, performance management, and staff development. Ensure compliance with employment laws and regulations.
- Administrative Oversight: Provide leadership and direction to staff, ensuring five star customer service and efficient office operations, including record- keeping, facilities management, and procurement.
- Compliance and Risk Management: Develop and implement policies and procedures to ensure compliance with legal and regulatory requirements. Identify and mitigate operational risks.
- Collaboration and Communication: Foster effective communication and collaboration among staff, volunteers, board members, and external stakeholders. Represent the organization in meetings and events as needed.
- Technology and Information Systems: Evaluate and implement technology solutions to streamline operations and enhance productivity. Oversee the maintenance and security of IT systems and databases.
- Program Support: Provide operational support to program managers to ensure the successful implementation of programs and services. This often requires working directly with museum guests to provide five-star customer service.
- Continuous Improvement: Monitor operational performance and identify opportunities for process improvement and efficiency gains. Implement best practices to optimize organizational effectiveness.
Qualifications:
- Bachelor's degree in business administration preferred, childhood education, non- profit management, or a related field. Or a combination of the above experience.
- At least 5 years of experience in operations management, preferably in a non-profit or social services organization.
- Strong understanding of non-profit financial management, including budgeting, grants management, and compliance.
- Excellent leadership and interpersonal skills, with the ability to motivate and inspire staff and volunteers.
- Demonstrated ability to develop and implement strategic plans and operational policies.
- Proficiency in Microsoft Office Suite and experience with relevant software applications for financial management and data analysis.
- Knowledge of relevant laws and regulations governing non-profit organizations.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
