Job Summary:
Urgent Care for Children is searching for a reliable and responsible Office Manager to perform various office/administrative/clinical duties to keep our healthcare practice running efficiently. Our Office Manager will function as the lead management for the work directly with the clinic staff and corporate management to ensure high quality service to patients and families.
Job Functions:
- To be responsible as lead management for the development, communication and successful execution of established objectives (administrative, clinical and financial) within UC4C Clinic - as articulated through the organizational structure and the strategic and tactical plans through the corporate office.
- To meet UC4C’s services standards including interpersonal communication and professional conduct expectations
- To help recruit, manage and supervise clinic staff
- Staff scheduling and practices that ensure continuous and timely availability of clinic staff
- To meet or exceed patient needs in a caring, efficient and cost effective manner, demonstrate honesty, and maintain complete patient confidentiality according to HIPPA regulations
- Other roles in daily clinic operations include:
- Call back to every patient on a scheduled basis.
- Answering calls regarding prescription refills and note appropriately in patient chart as needed, as instructed. Calling patients with lab, XR, and EKG results as instructed. Responding to patient calls and concerns as needed.
- Maintaining up to date inventory of clinical and non clinical supplies. Ordering supplies as needed.
- Supervising cash collection and deposits from clinic. Maintaining appropriate logs.
- Maintaining and following up on all clinic maintenance and utilities.
- Being the point of contact for billing or marketing team as needed.
- Training of the front desk and other staff about the UC4C culture - exceptional customer service, quality care with less waiting.
- Gelling into any administrative or clinical role as needed.
Job Qualifications and Requirements:
- Nursing degree/Management degree or extensive experience in a similar role. High School Diploma required, with ability to read, write and speak English
- RN/LPN charge Nurse is preferred
- At least 5 years leadership or managerial experience in a hospital or outpatient clinic setting
- Self-learner, exceptional problem solving and conflict resolution skills
- Knowledge of computers, Microsoft office
- Experience in handling pressure and stressful situations with ease
- Cheerful personality and a team player
- Exceptional people management and leadership skills
- Meet or exceed customer needs in a caring, efficient and cost effective manner, demonstrate honesty, and maintain complete patient confidentiality according to HIPPA regulations
- Knowledge about medical billing and insurance a plus
- Our clinics are open on evenings and weekends. Although this is mostly a weekday job, the clinic Manager has to be flexible and be willing to come in to help or supervise during evenings or weekends as needed
