JOB SUMMARY

The Donor Database Manager will manage the Chinese-American Planning Council’s (CPC’s) fundraising donor database, track CPC’s sources of funding from public and private giving, and be responsible for the administration of CPC’s fundraising efforts. The Donor Database Manager will provide data entry, database management support, communication and coordination across the agency, and administrative and logistical support as needed. The Donor Database Manager will play a key role in the Development team to ensure donor data administration and communications are smooth, accurate, and timely.

 

A successful candidate possesses strong written and verbal communication skills. The candidate must successfully work with diverse program staff members and demonstrate culturally competent interpersonal skills. The position requires flexibility to adapt to project deadlines, to shift tasks and priorities when needed, and maintain diplomacy within tight deadlines. As a hands-on resource to the Development team, the role will have considerable exposure to CPC's 50 social service programs that help improve the lives of the low-income and immigrant families in New York City. CPC seeks individuals with demonstrated focus and dedication in completing detailed data entry tasks and experience with databases with accuracy and efficiency.

 

PRIMARY RESPONSIBILITIES

1. Database Management:

  • Produce Salesforce reports, perform data queries and assist in analyzing data in Salesforce and Excel.
  • Prepare and produce relevant database reports for the Development and Fiscal Department, and help complete monthly data reconciliation.
  • Prepare and produce fundraising reports for the board and leadership.
  • Perform daily data entry, clean, and review data integrity, to help keep Salesforce donor database up to date and to ensure accurate entry for all donations.
  • Communicate and coordinate with program staff to track private funding sources (grants and donations from a variety of entry points).
  • Track outstanding pledges and produce pledge reminders as appropriate.
  • Assist in providing ongoing database management and performing annual database reconciliation.
  • Patient, detailed, thorough data cleaning is required in this role.

 

2. Administration:

  • Generate and send thank you letters and tax receipts for all gifts within one week, consistent with gift processing and procedures documents.
  • Track vendor invoices and prepare check requests, purchase orders, and other expense documentation as needed by development team members.
  • Assist in preparation of grant proposals and reports, as well as the annual report.
  • Assist in preparing mailings for events and end of year mailings.
  • Help analyze and reconcile annual income data for individuals, corporations, foundations, and boards to align with the fiscal documentation such as the general ledger.
  • Work with fiscal team to ensure all gifts and payments are recorded accurately and correct anomalies as needed.
  • Assist with event preparation tasks as requested by Development staff.
  • Provide administrative support, logistical support for special projects and fundraising events, and other duties as needed.

 


QUALIFICATIONS

Education and Experience:

  • Associate or Bachelor’s degree preferred.
  • At least three (3) years or equivalent experience preferred in a nonprofit fundraising, marketing or sales environment with background in data entry and performing queries in a database or complex Excel based administrative environment.
  • Hands on experience with a CRM/donor database like Salesforce is highly preferred; any training in Salesforce welcome.

Skills:

  • Must have ability to utilize technology in daily work and have strong familiarity with computer day-to-day tasks using Microsoft Office applications, especially Excel.
  • Ability to handle confidential information with discretion and professionalism including donor data.
  • Ability to exhibit a professional, positive attitude, and work ethic.
  • Effective at managing multiple projects/tasks of varying complexities and capable of meeting deadlines.
  • Must be organized, detail-oriented, and have proven analytical and problem-solving skills.
  • Must possess strong communication skills and be a team player willing to collaborate.
  • Must be culturally competent to work with individuals and groups from diverse racial, religious, ethnic, educational, ability, and socioeconomic backgrounds, as well as members of the LGBTQ and gender non-conforming communities.

 

COMPENSATION & BENEFITS OVERVIEW

  • This is a salary exempt role with an annual salary range of $60,000-75,000.
