What You'll Do
- Answer and direct phone calls efficiently & appropriately.
- Develop & maintain all front desk customer & business operations.
- Consult with families to organize and reschedule appointments as applicable & appropriate.
- Write and distribute email, correspondence memos, letters, faxes and forms
- Develop and maintain a clinic organization system ensuring:
- Clinic appearance is on brand
- Clinic remains clean with a positive atmosphere
- Office and therapy supplies are organized
- Filing and shredding system is maintained
- Maintain and ensure proper clinic safety, cleanliness and presentability for all staff, families and clients
- Provide general support to visitors and families, guaranteeing a positive experience
- Triage phone calls and follow guidance on supporting clients in crisis situations while working with the mental health team
- Communicate regularly with families to determine additional community resources and ways to support the client experience
- Troubleshoot customer service experiences by identifying areas of concern, any new resource needs, and working to improve client satisfaction
- Collaborate with multiple departments to resolve customer service issues, including billing/insurance, scheduling, and clinic teams.
- Engage families in the waiting room, creating a welcoming environment
- Develop new, fun ways to engage families in the waiting room and direct other clinic leaders to utilize engagement activities
- Maintain prompt and tactful communication via person, phone, email and project management programs
- Monitor and manage client and family satisfaction and retention and promote a personalized experience for each family.
- Support in crisis management situations
- Manage clinic supply inventory and is responsible for ordering additional supplies as needed
- Attend clinic-wide events
- Embody CI’s core values
- Engage in clinic and discipline/department activities, such as clinic or team meetings, discipline meetings and staff training days as applicable.
- Uphold CI Missions and values and follows CI policies & procedures as outlined in the employee handbook, processes manuals, and other internal documents/forms of communication.
- Maintain a clean and functional work space(s).

- Complete competency training on crisis management and response.
- Maintain an up to date CPR certification.
Working Conditions
- Working Hours generally fall between 8am-6pm, Monday-Friday.
- Part-time (approximately 20 hours per week)
- Physical Requirements:
- Must be able to move individuals and equipment weighing up to 50 pounds.
- Must be physically able to work around small children including sitting, standing, running, bending, etc.
