Description
The Project Workflow Lead will be responsible for managing multiple projects from initiation through production for a variety of channels, such as email, direct mail, social media, video and photography. This role interfaces with internal stakeholders, outside agencies and production partners to ensure seamless execution of creative initiatives. This position requires very strong organizational skills and the ability to juggle multiple projects with tight deadlines. S/He will own the schedules and make sure key dates are clearly communicated and agreed upon, as well as be the liaison with production partners to ensure quality and accuracy of all projects. In addition, the Project Workflow Lead will proactively offer ideas for process improvements and be an integral member of an evolving team.
Job Responsibilities:
- Reviews all job initiation requests and creative briefs, and confirms that sufficient details, including asset sizes and specs, have been provided
- Responsible for assigning jobs through the Citizens workflow system and making sure all project data is up to date on a daily basis.
- Proactively manages milestones throughout the project lifecycle, from creating detailed schedules, to setting up kick-off and presentation meetings
- Responsible for keeping all project members and stakeholders informed of their project status, and partners closely with the Marketing Manager to ensure alignment between the creative team and the requestor’s strategic direction.
- Partners closely with the Marketing Manager to make sure feedback is clear and remains in line with initial creative direction.
- Partners with internal teams and external vendors to request cost estimates for printing and production services (ie printed brochures, signage, video and photo services), as well as route and review proofs.
- Partners with the asset librarian and creative team on final archiving of approved assets within the DAM
- Provides crisis management and troubleshoots as necessary throughout the project to ensure jobs are delivered on time and within budget while maintaining quality.
Required Qualifications:
- Must be detail oriented and have at least 4-5 years of related experience working in a project/production management capacity on a creative team.
- Proven ability to work well under pressure, meet deadlines, and manage multiple projects simultaneously.
- Working understanding of print production specs, digital media, web development and technical specifications and dependencies.
- Exceptional verbal and written communication skills.
- Proven experience putting together production schedules
- Comfortable working in PC/Windows environment
- Must be able to come into office up to 3 times a week based on proximity
Desired Qualifications:
- Experience using project management/workflow software, such as Aprimo
- Experience coordinating Direct Mail and Email campaigns, as well as video and photography projects
- Working knowledge of Illustrator, InDesign, Photoshop, HTML and processes a plus
- Comfortable working in Excel and MS Office products
Education:
Bachelor’s degree preferred

Hours: 40
Schedule: M-F 8-5 Hybrid in Westwood MA office 3 days and 2 days remote.
