JOB SUMMARY
Schedule and check in check out/ Charge entry for Cash Pay patients. The receptionist works closely with physicians, departmental personnel and patients and must exhibit effective communication skills as well as caring professionalism when communicating with patients and their families in person, and over the phone.
Job Specific:
The check-in and check-out receptionist will schedule follow up office visits into EMD system, collect patient co-pays, and past due balances due at TOS (time of service).
1. Greet patients and outside guests professionally at check-in/ check-out window
2. Check patients in and out / Charge Entry
a. Verify all information to be complete (e.g. diagnoses’ and services performed marked on superbill through EMR). Request clarification from physicians if information is missing or unclear. DO NOT mark any CPT or ICD-10 for the physician
b. Process referrals for applicable insurance carriers
c. Schedule follow-up appointments as indicated
i. Procedures to be scheduled will be forwarded to surgery scheduler
ii. Verify patient is providing current insurance information
iii. Assist patient in obtaining financial assistance
iv. Obtain authorizations for patient outpatient treatment
3. Collect outstanding balances, co-pays and co-insurance due at check-out
i. Writing receipt for patient
ii. Making correct changes as needed
iii. Operate credit card machine
iv. Reconcile till daily/ turn in monies/ payments collected to cashier’s office
v. Maintain cash change drawer with no loss or overage
4. Lock front doors upon closing of clinic
5. Answers and directs all incoming phone calls to the appropriate area professionally and politely, by identifying our clinic. – (Office Name and Self)
i. Phone calls should be answered by the third ring
ii. Identifying self, clearly and pleasantly
iii. Calls placed on hold should not be left for long periods, exceeding 5 minutes, Redirect to appropriate party
6. Scheduled patients
a. New patient
i. Who- referring MD listed
ii. Why – referring diagnosis
iii. Request all notes faxed to clinic prior to visit
iv. New patient packet to be mailed to patient to completed and returned prior to appointment date
Additional Duties:
- Processing designated folders that contain reports needed for patient referrals and treatments
- Scanning as needed
- Processing incoming/ outgoing faxes – paper and in EHR system
- Receive packages, deliveries
Minimum Requirements
EDUCATIONAL REQUIREMENTS
Required: High School education or GED
EXPERIENCE
Required: At least one year experience in a physician's office in a front desk position.
Preferred: Experience using eMDs EMR. Medical Insurance experience preferred.
Special Skills and Abilities:
Required: Effective communicating skills, polite and courteous
Excellent computer skills
Familiarity with keyboard entry and cash handling
Preferred: MS Office experience
