The City of Buena Park is seeking a student willing to gain knowledge in supporting the Human Resources functions of the City's HR/Risk Management department. This position would include career development such as exposure to job fairs, workshops, training on how to proctor written and oral exams, and training in the widely used public sector HRIS – NeoGov. Depending on the level of education, this person may also perform data gathering for special projects, in addition to performing day-to-day HR tasks such as employee and recruitment file maintenance.  

GENERAL PURPOSE
Under general supervision, receives training and participates in a variety of projects and programs in support of an assigned department; performs administrative, technical, and/or professional duties in support of the assigned department, with actual duties dependent upon position assignment; and does related work as required.
 
DISTINGUISHING CHARACTERISTICS 
This is a part-time, non–benefited, position.  This position provides an opportunity for incumbents with an interest in pursuing a career in municipal government to learn about municipal government functions and gain experience by completing tasks and special assignments related to the program area.  Assignments are intended to both help the City meet its business objectives as well as provide the Administrative Intern with exposure to municipal government projects, programs, and processes. The incumbent in this classification works under direct supervision and performs increasingly responsible duties as experience is gained.
 
ESSENTIAL FUNCTIONS

  1. Performs research and analysis on assigned projects, prepares reports to summarize findings, and makes recommendations for appropriate action. 
  2. Prepares visual aids such as charts, graphs, and presentation slides. 
  3. Provides verbal or written information in response to inquiries and requests from other employees and the public; provides technical and administrative assistance. 
  4. Maintains and updates a variety of departmental files, records, and databases; compiles data and prepares reports. 
  5. Reviews applications, records, and files for completeness and conformance with established regulations and procedures. 
  6. May assist with community meetings. 
  7. Performs a variety of general office duties and research.
  8. Assists department employees in the performance of assigned tasks.
QUALIFICATIONS GUIDELINES
 
Knowledge of 
Office administration practices and procedures; computer equipment and software; methods and techniques of proper telephone etiquette; correct English usage, including spelling, grammar, and punctuation; photocopying, record keeping, and filing techniques; effective customer service techniques.
 
Ability to:
 
Learn to correctly interpret and apply City policies and procedures; perform general clerical work; proofread basic documents; organize and maintain office records and specialized files; communicate effectively, both orally and in writing; understand and follow instructions; enter and prepare clear and accurate data for records and reports; effectively respond to requests and inquiries from the general public and City staff; operate and use office equipment including computer; learn to use various software packages including Microsoft Office Suite; establish and maintain effective working relationships with staff, management, and the general public.

Physical Demands
While performing the duties of this class, employees are frequently required to sit, stand and walk; talk or hear, in person and by telephone; use hands repetitively to finger, handle, feel or operate standard office equipment; and reach with hands and arms above and below shoulder level. Employees occasionally lift and move records and documents weighing up to 20 pounds.
 
Specific vision abilities required by this job include close vision and the ability to adjust focus.
 
Mental Demands 
While performing the duties of this class, employees are regularly required to use written and oral communication skills; read and interpret data, information and documents; analyze and solve problems; observe and interpret situations; learn and apply new information or skills; perform highly detailed work; work on multiple, concurrent tasks; work with frequent interruptions; work under intensive deadlines; and interact with staff, management, vendors, contractors, the public, and others encountered in the course of work.

WORK ENVIRONMENT 
Employees typically work in office conditions, and the noise level is usually quiet, at or below 85 decibels levels.Graduation from high school or G.E.D. equivalent is required and currently enrolled in an accredited college or university in pursuit of an Associate’s, Bachelor’s, or advanced degree majoring in public administration, business administration, or related field to the specific position assignment.
A valid Class C California driver’s license, acceptable driving record, and evidence of insurance are required.
