GENERAL DESCRIPTION:

Coordinates and manages special events to include city-sponsored events, community youth programs sponsored by the City and public special event permits to ensure programs meet the expectations of the City and community.


ESSENTIAL JOB DUTIES:
  • Coordinates and manages special events, City-sponsored events, and public special event permits to include oversight, assigning and monitoring spaces of public users and in-house users, collecting fees and compiling data; ensures that events comply with applicable local, state and federal regulations and permits.
  • Coordinates with city departments and outside agencies to secure resources and gather information for City and non-City events as needed.
  • Maintains positive working relationships with community and neighborhood-based organizations, customer groups to maximize success of programs.
  • Coordinates with City personnel to assess availability of requested resources and determine event-related costs.
  • Assists with researching the needs, cost effectiveness, and possible available resources for new events and programs.
  • Responds to officials, employees, and/or other citizens or patrons' questions and comments in a courteous and timely manner; communicates and coordinates regularly with appropriate others to maximize the effectiveness and efficiency of city operations and activities; may represent the city on related community matters.
  • Coordinates presentations with various events including departmental and city events, and other events as requested.
  • Performs related administrative tasks; develops and prepares promotional materials.
  • Manages the time, schedules and resources of direct reports to include schedules, budgets and performance.
  • Effectively communicates orally and in writing by developing clear content for all audiences; organized outreach and educational campaigns; maintains knowledge of effective communication tools and public outreach

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of City and Department rules, policies and procedures
  • Knowledge of principles and practices of public parks, open space and trail development
  • Knowledge of management and budgeting principles and practices
  • Knowledge of equipment and supplies supporting a Parks and Recreation or City function
  • Knowledge of building maintenance
  • Ability to multi-task, prioritize and solve problems
  • Ability to plan and direct the work activities of parks crews.
  • Ability to communicate clearly, both orally and in writing.
  • Excellent customer service skills and ability to address employee or public concerns
  • Ability to perform manual labor outdoors for extended periods under various weather conditions
  • Ability to exercise sound judgment within the scope of responsibility
  • Ability to establish and maintain effective working relationships with co-workers, subordinates, supervisors, and the public
  • Ability to drive to assigned locations
  • Must be able to work nights and weekends as needed for success of events, oversight of programs required.


MINIMUM QUALIFICATIONS:
Prefer Associates Degree or higher in Communications, Public Relations, Marketing, Business or Public Administration or equivalent combination of education, training and experience of five years’ within parks and recreation, community program administration. Two (2) plus years of supervisory experience required. Must possess a valid state driver license.

ESSENTIAL PHYSICAL REQUIREMENTS:
The physical activities required for this position involve:
Frequent standing, sitting, walking, using hands to operate tools or controls, reaching with hands and arms, talking, and hearing; occasional stooping, kneeling, crouching, climbing or balancing, and crawling.

This position requires lifting:
Up to 25 pounds frequently; up to 50 pounds frequently.

This position has the following special vision requirements:

Close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
