Salary: $30,955 to $39,212 per Year
SUMMARY: An administrative position responsible for the data input and maintenance of police records.
SUPERVISORY RESPONSIBILITIES: Receives direct supervision from the Police Records Manager or assigned supervisor. This job has no supervisory responsibilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES: The following duties and responsibilities are illustrative of the primary functions of this position and are not intended to be all-inclusive.
- Provide administrative maintenance of police records. Provide quality management of records/data accuracy, maintenance and retention as required by local, state and federal law.
- Compile, type, record, scan and file a wide variety of police records.
- Perform data entry and corrections as required.
- Operate a computer terminal, scanner and printer to type, record and retrieve a wide variety of police reports and administrative documents.
- Maintain confidentiality, discretion and professionalism as it relates to police records.
- Address customer service and public relations situations relating to records management; take or recommends action to ensure resolution of complaints.
- Communicate effectively with field and administrative staff to solve system/procedural issues; coordinate frequently with the NCIC system users to identify training needs and support.
- Communicate effectively both in writing and verbally to include answering the telephone.
- Respond to requests and inquiries from public and departmental personnel in a courteous and professional manner.

KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of modern principles, practices, and techniques of police administration, organization and operation with emphasis in records management and administration.
- Knowledge of and ability to interpret and apply pertinent local, state and federal laws related to police records management and administration.
- Knowledge of systems analysis, design, systems programming and documentation principles and procedures.
- Knowledge of organization, policies and operating procedures of the Records Section.
- Knowledge of New World Systems, Brazos (E-Citation) and other police oriented software.
- Knowledge of standard business software, including word processing and spreadsheet programs.
- Skills to identify, evaluate and solve data system issues and maintain accurate records and files
- Skills to demonstrate interpersonal and organizational skills.
- Ability to work in a fast-paced environment, multi-task, adjust priorities and attention to detail.
- Ability to interpret, explain, and enforce departmental policies and procedures, technical publications, manuals and other guidance documents.
- Analyze and maintain complex computer systems.
- Ability to work independently in the absence of supervision.
- Ability to learn the organization, procedures and operating details of the Cheyenne Police Department.
- Ability to communicate clearly and concisely, both orally and in writing.
- Ability to establish and maintain effective working relationships.

EDUCATION AND EXPERIENCE: High school diploma or equivalent and one year of experience in the records, clerical or administrative field.
CERTIFICATES, LICENSES, REGISTRATIONS: Possession of, or ability to obtain, an appropriate, valid driver's license.
WORKING ENVIRONMENT: Work closely with others in an office environment utilizing a computer and other office equipment.
SPECIAL REQUIREMENTS: Must be willing to submit to a background investigation, a polygraph and have no prior felony convictions.
