What are the responsibilities and job description for the Athletic Supervisor position at City of Grapevine?
Plans, coordinates, schedules and supervises athletic leagues, programs, tournaments and activities.
1. Creates, develops and implements community and regional events, including various leagues, tournaments and activities, etc. usually with a 6-12 month lead time prior to the event, informing the community through advertising and promotions, developing program participation, organizing department and city staff resources such as facility availability, multi-departmental participation and assistance, scheduling, supplies and equipment needs, allocating and scheduling current staff and hiring additional specialized staff, professional services and contractors as needed.
2. Supervises subordinate staff in the planning, coordination, scheduling, logistics and successful delivery of events, assigned or regularly scheduled programs, field reservations, projects and activities; directs and oversees contractors; reports to supervisor the effectiveness and current status of such programs and events.
3. Oversees the implementation of all athletic leagues, and special events; communicates with other department personnel to inform them of activity involvement and anticipated assistance.
4. Identifies and analyzes program requirements, supplies and equipment needed to properly host and manage all athletic leagues, tournaments and programs.
5. Acts as liaison with partnered youth sports associations and/or other co-sponsored organizations for youth sports leagues to help secure facilities for practices and games.
6. Monitors participation in adult softball, kickball, flag football, volleyball, tennis and youth baseball/softball programs for attendance and other performance indicators and reports findings to supervisor.
7. Provides various program and activity reports to supervisor; audits and reconciles finances; determines event budget and tracks revenues and expenditures; makes recommendations for additions or changes towards athletic activities.
8. Works with marketing personnel to identify and develop integrated marketing plan and promotional strategy; uses various media outlets; writes press releases and newsletters; makes presentations for promotion of events and programs.
9. Makes recommendations to supervisor on hiring part-time staff involved in athletic programs and activities; trains, supervises and evaluates full-time and part-time staff; reviews payroll and initiates first approval.
10. Selects, coordinates and monitors various professional services, contractors and contract instructors; verifies and submits contractor invoices to supervisor for approval and payment.
11. Monitors division budget including revenue and expenditure projections plus supply and equipment needs; assists supervisor in budget preparation.
12. Monitors all background checks entered for all volunteer coaches and contractors for approval or denial; performs coach, volunteer and contractor training prior to each athletic season.
13. Performs related duties as directed when such duties are a logical and appropriate assignment to the position.
14. Regular and timely attendance are required for this position.
15. Interacts professionally and respectfully with the public, coworkers and others in the course of daily work.

EDUCATION, EXPERIENCE AND OTHER REQUIREMENTS
Bachelor's degree in Recreation Administration/Management, Leisure Studies or related field plus a minimum of two years of experience in athletic programming or related field or any equivalent combination of education, training, and/or experience which provides the requisite knowledge, skills, and abilities to successfully perform the essential functions of the job.
Must pass a Federal/National criminal background check, credit check and have a valid Texas driver’s license with an acceptable driving record as defined by City policy.
Work requires a flexible schedule including some evenings and weekends.
Must pass a pre-employment basic physical, drug screen, and functional assessment screening (Level 2).
