PT Administrative Assistant-Fleet

The City of O'Fallon is looking for an energetic, customer-service oriented team member for the position of PT Administrative Assistant. This position plays an important role in providing Administrative support for the Fleet department's operations. Starting pay for this position is $20.94 per hour. You can expect to work 20 hours or less per week.

We're looking for someone who has great organizational skills and is able to work with frequent interruptions. This person should be able to easily learn department policies and procedures and have knowledge of modern office practices, procedures and equipment.

As a PT Administrative Assistant,your duties and responsibilities include:

• Monitors Fleet maintenance expenditures of all departments.
• Codes invoices and processes invoice for payment.
• Reconciles P Card statements for accuracy, signatures, and process for payment.
• Ensures compliance with City Purchasing and Finance Policies.
• Maintain and establish all maintenance electronic files and databases for all departments.
• Tracks, prepares or assist in the preparations of purchase orders, memoranda, and resolutions.
• Update and maintain division files.
• Assist with processing payroll.
• Compiles, drafts, and submit division reports when necessary.
• Performs related duties assigned.

Applicants must:  

• Possess excellent customer service and verbal communication skills-being able to maintain effective working relationships with other employees is required. 
• Have knowledge of modern office practices and procedures
• Be knowledgeable in surplus property disposal procedures
• Possess or be able to readily obtain a valid driver's license 
• Possess a high school diploma or GED equivalent
