Job Description: POSITION OBJECTIVES This is a highly responsible position responsible for complex and varied clerical work, requiring the ability to work independently with great attention to detail. Will provide general supervision and oversight to departmental Administrative Assistants within day to day functions. QUALIFICATIONS • Bachelor’s degree • Five (5) years related experience and or training Certifications, Licenses, and Registrations o Valid Florida Driver’s License. ESSENTIAL FUNCTIONS • Provides clerical and administrative assistance to the Department Head. • Composes, types, and edits routine correspondence and statistical reports independently. • Analyzes financial information, and monitors department compliance within purchasing guidelines. • Responsible for regularly reviewing departmental budget, as well as maintaining payments and invoices. • Transmits orders and instructions with the authority of the supervisor. • Maintains some accounting, payroll, and other department bookkeeping records. • Processes purchase orders. • Files correspondence and other records. • Answers telephone and give information to callers or route calls to appropriate officials and place outgoing calls. • Prepares City Council Agendas Items for department requests. • Assists in preparation of annual department budget. • Responsible for maintaining and monitoring service contracts and leases for department. • Makes copies of correspondence or other printed matter. • Prepares outgoing mail. • Administers the credit card purchasing policy. • Performs related work as required. These additional duties may be representative of tasks typically performed by those in a lesser or more advanced job grade. SUPERVISORY RESPONSIBILITIES • Provides general direction to departmental Administrative Assistants • Carries out supervisory responsibilities including interviewing, hiring, and training new employees; planning, assigning, directing and reviewing work; mentoring, motivating, coaching and appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems in accordance with the organizations policies and applicable laws. Knowledge, Skills, and Abilities • Knowledge of modern office practices and procedures. • Knowledge of responsibilities and nature of confidential administrative work. • Ability to read, analyze, and interpret work related documents. • Ability to communicate both orally and in writing. Ability to comprehend and apply principles of mathematical concepts as applied to this position. • Ability to follow and interpret instructions furnished in written and oral format. • Computer skills, including experience in software applications appropriate to this position such as word processing, spreadsheets, etc. • Organizational Skills. • Time management skills. WORK ENVIRONMENT • The work environment includes those typical of an Office setting. This position is part of the City’s Emergency Management Team and, as such, shall be expected to perform all duties that are assigned during an emergency management operation.
