Salary Range 4,178.00 - 5,342.00 Job Summary This is a full-time, regular, non-exempt union position. This position is covered under the provisions of an agreement between the City and the OPIEU union. Support Specialist II performs a wide variety of clerical and general office work, secretarial, customer service and support in the Fire Department’s Administration office. Provides general information and assistance to the public. Job Details Essential Functions: Act as a receptionist; provide information on departmental and City Policies and procedures as required in person, by telephone and by email. Resolve or appropriately direct customer inquiries, comments or complaints. Follow up with customers and/or departments to ensure that issues come to resolution. Maintain VFD master telephone lists and email distribution lists. Coordinate with IT to ensure City Directory information is up to date for all Fire department employees. Order office supplies and monitor and restock regularly used items. Schedule community use of fire station public meeting rooms. Daily distribution of US and interoffice mail. Reply to voicemail messages left on the main and after-hours fire department line in a timely manner. Prepare department injury packets as needed or at least quarterly. Assist with ESO Data Entry – “900 calls” – approximately 30 incidents per month. Provide staff support to the EMS Division Chief. Process Flag updates following department policy. Provide administrative support for department formal events. Maintain an organized filing system of paper and electronic documents. Compose, edit, and proofread a variety of documents. Assist with special projects as assigned. Perform other duties and responsibilities as assigned. Qualifications Experience and Education Experience: Two (2) years in a working environment that requires multi-tasking and organizational skills. Education: Equivalent to a HS Diploma/GED *Equivalent combinations of education and experience may be considered. Computer Skills Beginner level skills in Microsoft Office Suite Required Licenses and/or Certifications Valid Driver’s License Knowledge English usage, spelling, grammar, and punctuation skills Modern office procedures, methods and computer equipment Use of personal computers and basic software Abilities Communicate clearly and concisely, both orally and in writing Operate a personal computer and appropriate software Work in a manner consistent with the City of Vancouver’s Operating Principles Work and act as a team player in all interactions with other City employees Provide a high level of customer service at all times Project and maintain a positive image with those contacted in the course of work Develop and maintain collaborative and respectful working relationships with team members and others Consistently provide quality service Maintain regular and dependable attendance This position is subject to successful completion of a pre-employment reference check, a basic criminal background check and a driving abstract.
