Job Description:

  • Plan and coordinate administrative procedures and systems; efficiently use SmartBuy Plus for procuring goods and services and processing invoices; and devise ways to streamline processes. Oversee the department's office supplies, equipment, etc.
  • Work independently to manage and maintain department budgets, processing and tracking all expenditures, reconciling financial statements and providing reports to the Vice President.
  • Assist team members with the administrative processes of recruiting new staff, arranging office space, onboarding and orienting new staff, and providing training.
  • With the Vice President, create a professional development plan for the Marketing and Communications staff that provides coaching, guidance, and growth opportunities to ensure optimum talent and resource development and oversee the implementation, follow-through, and evaluation of the plan. Ensure that all job descriptions are updated and complete, that annual reviews of staff are completed in a timely fashion, and that department and Human Resources files are organized and kept up to date.
  • Work collaboratively with department and broader staff members of the Career Connections Center to create an innovative student internship program that benefits students with invaluable work experience and serves as an excellent model for the University overall. Assist with creating and advertising internship positions, mentor and guide students, develop co-curricular programming, and use and assist others with Handshake platform.
  • In cooperation with the Clark University Office of General Counsel, the Senior Creative Director, and the Director of Engagement Marketing, help to administer a new licensing and trademark enforcement program to bring greater consistency and brand adherence to use of Clark University logos and other identifying marks by external vendodrs.
  • Perform other duties and special projects as assigned.


Requirements:

  • Bachelor's degree or higher
  • 3-5 years' administrative experience in similar or related work
  • Excellent communications and project management skills and positive customer service ethic for working clearly and efficiently with Marketing and Communications team members, as well as across other departments of the University
  • Attention to detail, strong organizational and problem-solving skills, and ability to multitask
  • Excellent computer, data management, and computational/analytical skills for planning and coordinating budgets
  • Outstanding skills with Microsoft Office and facility with Clark University's accounting systems
  • Initiative and self-motivation, working independently and as a team member
  • Ability to successfully handle interpersonal relationships and issues with professionalism, diplomacy, and tact; positive customer service skills
  • Creativity, flexibility, resourcefulness, and humor for dealing with a hectic and constantly changing office environment
  • Deep appreciation for the values of a liberal higher education
  • Prior experience working with and contributing to a diverse and inclusive workplace with the ability to interact effectively with a broad range of constituents on campus
