Job Summary:
The Contract Administrator is responsible for overseeing all aspects of the Maintenance Contracts, including scheduling, ordering material, receiving service tickets, and contract review. This position will also maintain files and records that are pertinent to customers.
Essential Function:
- Responsible for reviewing maintenance contract details and needs.
- Create and maintain master schedule for maintenance contract service work and incorporate into the manpower schedule.
- Review all maintenance contract service tickets for accuracy.
- Requisition parts and materials as needed for service contracts.
- The ability to handle responsibilities with effective interpersonal skills and to effectively interface with others inside and outside the company is required.
- Submits Service Department Authorization (SDA) forms as needed for all three sites.
- This position is a back up to the service manager for scheduling, payroll spreadsheet, and STX job status report updates.
- Carry out clerical duties, including answering phones and preparing documents.
- Acts as a liaison between Service, Sales, and Customers.
- Professional communication skills both written and verbal.
- Strong organizational and time management skills.
- All other duties as assigned.
Physical Skill and Effort
- Prolonged periods of sitting at a desk and working on a computer.
- Must be reliable and responsible; must have the ability to work with a team and independently with little direct supervision.
- Willingness /ability to work overtime and weekends, as needed.
- Work involves light and simple types of physical exertion.
Working Conditions and Hazards
Normal office conditions. Negligible/little or no exposure to hazardous conditions or materials.
Education:
A High School diploma or equivalent is mandatory.
Experience:
Two years’ experience in a service contract administrative role is preferred. Computer competency including Outlook, Word, Excel are required. Basic understanding of HVAC industry terminology a plus. Industrial service administrative experience a plus.
