SUMMARY/OBJECTIVE:
The Compliance Analyst, Speaker Bureau Auditing (“Analyst”) confirms through audit processes that the costs for clients’ speaker bureau programs have been recorded in various client-specific systems to ensure accurate and complete business and pharmaceutical compliance reporting.
JOB FUNCTIONS:
The Analyst audits all costs for speaker bureau programs plus speaker bureau arranged training activities. The role of Analyst is currently shared by three individuals, each with assigned clients.
The Analyst’s role includes:
- confirmation through ongoing audits of accuracy of financial transaction amounts in various systems, specific to each client
- confirmation that client-specific rules on spend limits, venue selection, travel limitations and other client-specific rules were followed by the speaker bureau team when arranging programs
- confirmation that transactions in client-specific systems match the amounts actually paid through analysis of monthly general ledger reports
The Analyst communicates regularly and independently with internal colleagues on the speaker bureau team, others in the compliance team with similar responsibilities and with Finance colleagues. The Analyst shares the results of the audits with speaker bureau management and team leads, using concise communication of results, clear expectations of required responses, and tactful delivery of individuals’ errors to be corrected. This requires collaboration, discretion and professional communication skills.
The Analyst uses independent judgment when identifying auditing issues. This has significant implications on the accuracy of data provided to our clients that they then use for federal and state mandated reports.
SPECIFIC TASKS
This is a partial list of tasks performed by the Analyst.
- Independently run reports from various systems to capture programs ready to be audited. Systems include:
- Cvent
- Pharmagin
- Veeva
- General ledger
- Perform regular (semi-weekly, weekly or monthly) audits of all spend for specific clients, ensuring that all amounts on source documents match the amounts stored in various client-specific systems. Source documents (e.g., receipts, invoices, itineraries, sign-in sheets) are stored by program on server.
- Prepare summary of audit results and share with speaker bureau team for corrections and re-audits as needed.
- Re-audit as changes are made and communicated by the speaker bureau team.
- Document clear audit trail to ensure all required changes are made accurately.
- Create and maintain client-specific work instructions related to business rules that impact spend and logistics.
- Ad hoc projects to provide support for speaker bureau or compliance team
- Ad hoc project to provide assistance to others in the agency, including Px Group
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
ANALYTICAL SKILLS – Ability to compare, contrast and quality check work and keen attention to detail. Can present numerical data orally and in writing or through graphics.
COMMUNICATION SKILLS – Superior interpersonal and customer service skills.
COMPUTER SKILLS – Proficient in Microsoft Office including Word, Excel and Power Point, especially spreadsheets, database and reporting tools. Knowledge of CVENT, Veeva Events, Pharmagin and related event-management applications is preferred.
DECISION MAKING SKILLS – Ability to make clear, concise decisions and solve complex problems.
ESTABLISHING AND MAINTAINING INTERPERSONAL RELATIONSHIPS – Establishing and maintaining an excellent relationship with the client and the participants is critical to the success of this position.
ORGANIZATIONAL SKILLS – Ability to organize, plan and prioritize work in a fast-paced work environment. Ability to achieve goals in a timely fashion.
TRAVEL – Ability and desire to travel on a frequent basis and with short or minimal notice. This may include weekend and evening hours.
WORK ENVIRONMENT, POSITION TYPE, EXPECTED HOURS
This job is a professional office environment.
This is a full-time position. Days of work are Monday through Friday, 40 hours per week.
Required Education and Experience
- Associate’s degree required
- Bachelor’s degree preferred
- 1-2 years of related experience with healthcare compliance preferred
- 1-2 years of related experience with entry of information into applications such as Veeva or Cvent preferred
- Must be able to lift and carry a minimum of 10 pounds and to physically participate in the movement, set-up, and storage of event related items/materials
