Location: Claremont, CA Job Posting Title: Assistant Director of Alumni and Parent Engagement, On-Campus Engagement Job Details and Requirement: BASIC FUNCTION The Assistant Director is responsible for planning, managing, and executing key on-campus programming for alumni and students, and the management and success of the CMC Supply Shop. They will execute all alumni athletic programming, serve as alumni weekend, Impact CMC weekend, and reunion weekend (5-year) lead, co-manage the CMCAA on-campus engagement committee, and will help coordinate compelling on-campus events that engage the student body and introduce them to the alumni association. They will develop promotional products and manage marketing, sales, and distribution of The CMC Supply Shop. Perform a broad range of program, volunteer management, and engagement support within the Office of Alumni and Parent Engagement. DESCRIPTION OF DUTIES AND RESPONSIBILITIES ESSENTIAL FUNCTIONS: Serve as lead for Alumni Weekend and Reunion Weekend (5-year). Duties include marketing, programming, planning, and implementation. Strong coordination with, and oversite of, volunteer committees, vendors, students, and other staff at the College is needed to be successful. Execute and manage CMC’s volunteer weekend, ImpactCMC. Duties include collaborating with volunteer managers, Board of Trustees office, and Advancement to convey important information via programming to volunteers. Marketing and collaboration with staff, students, and vendors is necessary for success. Serve as manager of the CMC Supply Shop, with responsibility for sourcing CMC branded products, marketing and maintaining the Supply Shop website, monitoring sales and inventory, coordinating shipping and distribution. Work with advancement services and the office of the treasurer to maintain proper accounting and database tracking. Working with CMS athletic director, director of advancement for athletics, and coaches, execute alumni athletic games in support of CMC and CMS goals and objectives. Work with the assistant director for alumni engagement: student engagement to engage students and student leaders, to develop joint programs for students and alumni including class-oriented events and alumni-student programs. Plan, publicize, and implement student engagement programing focused on connecting alumni with current students and increasing student awareness of the CMC Alumni Association and membership in the alumni community. Demonstrate ability to map out a comprehensive marketing plan for alumni weekend, reunion weekend, ImpactCMC weekend, and the Supply Shop. Drive strategies that are proven by testing and metrics. Work with and manage volunteers including committees of the Alumni Association Board of Directors, reunion committees, event hosts, and students. Duties include organizing and attending meetings, regular correspondence, and implementing programs. Assist in all other activities of the Office of Alumni & Parent Engagement as needed, and be a contributing member of the College’s larger external relations and development activities, including assisting with plans and events for any campaigns and presidential travel. Working with the Annual Giving staff, plan and coordinate fundraising activities related to promoting contributions at events and in soliciting volunteers. Perform other essential duties and tasks specific to the position and other duties as assigned. REQUIRED KNOWLEDGE, SKILLS, and ABILITIES: Individual must possess knowledge, skills, and ability to be able to successfully perform the essential functions of the position, or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities. A high level of proficiency in Word, Excel, Outlook and other Microsoft Office software and Adobe Creative Suite, plus ability to learn and adapt to new software. Requires superior organizational skills, an ability to work independently with minimal direction. Must be detail-oriented. Requires excellent goal-oriented management skills. Must have ability to work collaboratively and professionally with student employees and volunteers. Flexibility and ability to juggle competing priorities and support numerous initiatives. Requires strong interpersonal skills and an ability to interface professionally with alumni, parents, administration, faculty, and students. Must have ability to work effectively with volunteers, with the donor community, with the academic community, and with colleagues. Experience with database functions and queries, particularly with Blackbaud’s Raiser’s Edge. Proficiency in the use of e-mail software and the ability to manipulate attachments. Requires exceptional professional writing, editing, and analytical skills. Must possess strong verbal skills. Collaborative spirit and service-oriented attitude. QUALIFICATION STANDARDS EDUCATION: Bachelor’s degree or equivalent combination of education and experience is required. EXPERIENCE: Three to five years of experience in a selective, private higher education external relations environment is preferred. Volunteer management and/or program planning experience preferred. GROOMING AND APPEARANCE: The Claremont Colleges seek to maintain a neat and professional image at all times. Professional attire is expected. LICENSES: A valid driver’s license is required to drive College-owned vehicles and the ability to be insured under the College’s authorized driver’s policy. PHYSICAL REQUIREMENTS: This position may require the ability to lift materials and supplies for events, such as floral arrangements, chairs, podium, etc., up to 50 pounds HOURS: The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday – Friday. Holiday, weekend, and evening work hours will be required to manage volunteers and programs. Travel may be required. Regular hours may vary due to needs of the College or division. CLASSIFICATION AND STATUS: This is a full-time, 12-month, exempt level, benefits-eligible position. Physical Requirements: Medium (up to 30 lbs.) BACKGROUND CHECK: The successful candidate will be required to undergo a full consumer background check. Certain positions will require the successful completion of a post-offer physical agility test.
