Location: Claremont, CA Job Posting Title: Associate Vice President for Finance Job Details and Requirement: BASIC FUNCTION The Associate Vice President for Finance provides support to the Vice President for Business, CFO and Treasurer in all aspects of College financial matters. This position performs a range of highly skilled financial and strategic planning functions, interacting frequently with the College’s senior leadership and Board of Trustees. DESCRIPTION OF DUTIES AND RESPONSIBILITIES ESSENTIAL FUNCTIONS: 1. Supervise other members of the Treasurer’s financial staff, including the Senior Director of Finance, Director of Finance, and the Senior Payroll Specialist. 2. Attend Finance, Audit and Compliance Committee meetings and prepare minutes for Finance and Audit and Compliance Committee meetings. 3. Assist in the preparation of agenda materials for the Finance Committee, and Audit and Compliance Committee meetings. 4. Participate in high-level strategic initiatives and financial planning of the College. 5. Monitor and update the College’s core operating and expanded unrestricted budget as well as the College’s short term and long term forecast models and related supporting schedules. 6. Coordinate the collection, evaluation, and approval of annual budget additions or transfers. Coordinate with the Dean of Faculty to create and monitor the annual faculty salary and research budgets. 7. Oversee the annual staff salary budget, including preparation of the annual staff salary worksheets and reconciliation of staff salary data to payroll records. Review and approve new staff position requisition forms for appropriate funding. 8. Coordinate with the Executive Director of the Robert Day School to create and monitor the Robert Day Scholars Program annual budget and long-term financial planning model. 9. Coordinate with the Dean of Faculty and Founding Chair of the Kravis Department of Integrated Sciences (KDIS) to create and monitor the KDIS annual budget and long-term financial planning model. 10. Monitor the use of the College’s financial aid resources, including student loan funds. 11. Work with the Financial Aid Office to investigate material budget variances as well as analyze the financial impact of institutional, federal, and state financial aid policies. 12. Participate in the College’s debt offerings and post-issuance compliance efforts. 13. Support the annual financial audit, federal funds audit, retirement audits, and 990 tax preparations with the auditors and TCCS. 14. Assist in the preparation of audit schedules as needed. Develop policies in the areas of purchasing, accounting, budget management, federal grant compliance, student accounts, and payroll. 15. Create and maintain the College’s capital reserve forecast reports and major construction in progress cost reports. 16. Review major construction in progress payment applications for timely submission, complete/accurate documentation, compliance with agreement terms, and required certifications/authorizations. 17. Prepare and respond to various financial surveys. Administer the Faculty and Executive Staff Housing Assistance Program. 18. Prepare and analyze annual financial graphs, ratios, and other data included in the annual Treasurer’s letter. 19. Serve as a member of the Incident Management Team and participate in College drills and training, specifically with regard to the Finance function of the incident management structure. 20. Develop and maintain financial reports in Workday, the College’s general ledger reporting system. 21. Maintain and update Treasurer’s Office web page and online catalog information pertaining to financial matters. 22. Participate in the development and implementation of any new financial systems or software. 23. Perform other essential duties and tasks specific to the position. REQUIRED KNOWLEDGE, SKILLS, and ABILITIES: Individual must possess knowledge, skills, and ability to be able to successfully perform the essential functions of the position, or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities. - Strong proficiency in various accounting software systems and other information technology, including spreadsheets. - Broad knowledge of accounting, audit, federal grants, payroll and investments practices, especially in the area of higher education. - Strong proficiency in general ledger accounting, understanding of financial statements and internal control functions. - Strong analytic and research skills required. - Ability to exercise a high degree of accurate and independent judgment, tact and discretion. - Ability to work well with diverse College constituents in a team-oriented environment. - Excellent organizational and communication skills. - Ability to manage multiple projects. - Understanding of investment terminology. - Ability to prepare and present various analytical materials, including trend analysis and fiscal projections. QUALIFICATION STANDARDS EDUCATION: Bachelor’s degree in accounting/finance, CPA and/or MBA desirable. EXPERIENCE: A minimum of ten years of related administrative, accounting, and/or investment work experience in positions of increasing responsibility. Experience in auditing and grant administration/accounting is highly desirable. HOURS: The regular hours for this position are 8:00 A.M. to 5:00 P.M. (with a one-hour meal period), Monday through Friday. Hours may vary due to needs of the College or department. CLASSIFICATION AND STATUS: This is a full-time, 12 months per year, benefits-eligible, exempt position. SUPERVISORY RESPONSIBILITY: This position will supervise the Senior Director of Finance, Director of Finance, and the Senior Payroll Specialist. REPORTS TO: This position reports to the Vice President for Business, CFO and Treasurer. OTHER: The successful candidate will be required to undergo a full consumer background check and consumer credit check. Certain positions will require the successful completion of a post-offer physical agility test.
