Office Manager/Bookkeeper/Executive Assistant
We are looking for a responsible Book Keeper/Executive Assistant/Office and Property Manager to perform a variety of administrative and clerical tasks. Duties of the Office Manager include providing support to our small team, assisting in daily office needs and managing our company’s general administrative activities, with a focus on book keeping. Administrative Assistant responsibilities include arranging appointments and schedules, preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and Word. Buildium software experience would be fantastic as well, but is not a requirement. If you have previous experience as a Secretary or Executive administrative assistant, are a quick learner and self starter, and have familiarity within the Real Estate or Property Management industries, we’d like to meet you. Ultimately, this successful Assistant will ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Day to Day Book Keeping
- Help our team and projects run smoothly and efficiently
- Organize and schedule appointments with outside vendors
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system/ contact lists/ CRM
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Submit and reconcile expense reports
- Act as the point of contact for internal and external clients/vendors/contractors
Skills
- Proven experience as an administrative assistant and book keeper.
- Knowledge of office management systems, procedures, and equipment
- Proficiency in MS Office (MS Excel and MS Word, in particular)
- Proficiency in or ability to quickly learn Buildium, our property management software platform
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- College degree preferred but not required; additional qualification as an Administrative assistant or Secretary is a plus
- Self starter who is not afraid to take initiative
Job Type: Part-time
Pay: $16.00 - $30.00 per hour
