UC External Event Sales Manager

Salary: 53,000.00 - 58,200.00. Commensurate with education and experience. Excellent health and retirement benefits package.

SUMMARY:

The Manager of Event Sales and Coordination - University Center is responsible for developing, recruiting, and servicing mainly off-campus University Center clients, including building client relationships and working as a liaison between off campus clients and on campus resources to assure execution of successful events. The Manager works directly with the Director of the University Center (UC) on events and requires evening and weekend work. The Manager displays outstanding customer service, develops marketing materials, has great attention to details and works closely with clients and campus needs to optimize usage of the University Center space. This position offers a base salary plus the opportunity for commission bonuses based on tiered sales revenue, plus full benefits.

ESSENTIAL DUTIES AND RESPONSIBILITIES includes the following. Other related duties may be assigned:

Proactively attracts prospects through networking events, social media, email introductions, and cold calls, while continuing to build current client relationships.

Researches, coordinates and implements UC marketing strategies and materials to promote campus venues, mainly the University Center, to create interest among off campus clients.

Provide leadership for all external clientele events on campus, including (but not limited to) conferencing, summer camps, corporate meetings, parties, and chapel events. This includes addressing issues and resolving complaints, scheduling conflicts, and any issues or concerns raised by external clientele. Negotiate event pricing, based on Manager judgement, and in compliance with University Center policies and procedures.

Manages client events by understanding the scope of event, time lines, and by determining facility, technology, and other needs; Communicates client needs and is the onsite event contact for large evening and weekend events.

Promptly generates all client proposals, rate quotes, bids, room rental reservations, and layouts, in close coordination with other campus personnel to ensure adequate resource are in place.

Responsible for creating timely and accurate invoices for clients. Resolves any discrepancies and questions. Works closely with UC Director and Business Office in collections.

Prepare regular financial and operational reports for management use.
Engage Catering Services early in process on client's food request, ensuring a seamless process.

Works with the UC Scheduling Coordinator to analyze UC utilization reports to improve marketing strategies and determine any budget implications and recommendations.

Assists in the recruiting, hiring, and supervision of the UC Student Utility Crew.
  • Provides direction in regards to meeting room layouts and customer service expectations to ensure the best customer service possible.
  • Assists in planning and facilitating monthly Student Utility Crew meetings.
  • Guides Student Utility Crew in conflict resolution and promotes team building.
Familiarize self with events and meetings occurring in the University Center; ensures that facility appearance and event setups are consistent with requests. Coordinates technical, facilities and custodial needs during evening/weekend hours.

Uses discretion in managing and purchasing supplies for event management purposes, within approved budget and subject to CMU policies and procedures.

Identifies needs and makes recommendations for quality improvement that creates value to off campus clients.

Understands how to work with all AV equipment within the building, making sure all off campus clients are able to use the systems.

Cross-trained in executing large on-campus client events in order to provide backup support for the department.

Provides input to business objectives for long-term goals including annual budget.

Ability to navigate policies and make strategic decisions regarding revenue generating clients, reduce rental clients, and non-revenue generating clients.

Develops and implements projects to improve UC processes and procedures, in regards to off campus clients.

EDUCATION and/or EXPERIENCE:

REQUIRED:

Bachelor's degree from an accredited institution

A minimum of 2 years of experience in event sales, coordination and management

Experience in developing formal bids and proposals for potential events

Ability to work many evenings and weekends, with flex day schedule

Excellent customer service, communication, organization, and problem solving skills

Attention to detail and ability to manage multiple tasks simultaneously

Team player, positive attitude, and relationship builder

Demonstrates experience in budget, marketing, and reporting

Sound computer and administrative skills

PREFERRED:

Familiarity with office products, College Net R25scheduling software, and All Seated layout software.

Proven Sales record; demonstrates successful event sales, coordination, and management.

Master's degree or seeking Masters in Event Sales/Management, Business Administration or field related to job description.

Bi-lingual.

Demonstrated ability to positively represent the University Center and Colorado Mesa University

Experience with and knowledge of AV event space technology

LANGUAGE AND COMMUNICATION SKILLS
Ability to read, analyze, and interpret assessments, financial reports, and legal documents. Ability to respond to common inquiries or complaints from students, faculty, administration, regulatory agencies or members of the community. Ability to effectively present information to student groups, management, and/or boards of directors

REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of instructions in verbal, mathematical or diagram form and deal with several abstract and concrete variables

MATHEMATICAL SKILLS
Ability to apply concepts of basic mathematics
