Administrative Specialist


Colorado Springs Utilities is seeking an Administrative Specialist to provide professional-level, administrative support to the management and personnel in the Planning and Finance Division located downtown at the Plaza of the Rockies. Key Areas of Focus:

  • Maintain and update calendaring systems, coordinate schedules, and make reservations
  • Perform P-Card reconciliation, and assist with forecasting expenses
  • Coordinate and arrange supplies, materials, and presentations for meetings, including recording notes and/or action items, and set-up and operation of AV equipment
  • Reviews assigns account numbers and processes invoices for payment relating to people’s business needs, creates and completes department work orders
  • Travel arrangements utilizing the FROSH/DEEM travel guide, and mileage travel expense reimbursements.
  • Schedule job interviews utilizing Taleo, and Outlook, prepare interview packets, and return completed interview documents to HR Talent Acquisition team 
  • Develop and maintain department SharePoint sites with updates or information, including records retention per Records Management requirements
  • Manage and review, processes, prioritize and/or routing incoming mail, publications, directives, and regulations, and maintain and order office supplies 
  • Weekly disbursements (check) review, route as necessary, log returned checks
  • Assist with accounts payable with daily check batches, including filing
  • Provide customer support for division departments, taking and routing phone messages
  • Advises others on administrative procedures and/or provides training and instruction

We are looking for candidates who demonstrate:

  • Administrative experience and a high school diploma or G.E.D. 
  • Strong Microsoft Outlook, Word, PowerPoint, Excel, MS Teams
  • Strong attention to detail and follow through with responsibilities
  • Organization, time management, multi-tasking, and problem-solving skills
  • Excellent customer service skills
  • Effectively working in a fast-paced, dynamic environment with rapidly shifting priorities
  • Taking initiative and responsibility for projects and tasks
  • Maintaining and improving department administrative processes and procedures
  • Maximo and Microsoft Visio experience preferred
