Position Summary:
The Payroll Clerk assists in all activities regarding the management of employee compensation in Columbia Dental. They will undertake a variety of tasks such as entering payroll information, calculating wages and making payments. An excellent payroll clerk has great understanding of the concept of confidentiality. The goal is to carry out all payroll procedures with speed and accuracy and the utmost professionalism.
General Duties & Responsibilities:
- Gathering and examining timesheets to ensure their validity.
- Process time clock missed punch forms
- Capturing approved annual and sick leave.
- Ensuring that compensation for overtime work is calculated at the appropriate rate and that annual leave is calculated accordingly, if applicable.
- Confirming that legally-mandated and optional deductions have been processed correctly.
- Preparing and distributing hard copy or electronic paychecks.
- Performing all tasks well before the pay run to ensure that staff members are compensated and notified on time.
- Addressing queries about payroll-related issues.
- Working to resolve discrepancies in payments as a matter of urgency.
- Maintaining payroll information by collating, calculating and entering data
- Updating payroll records by entering any changes to employee information or benefits such as job title changes, exemptions and saving deductions
- Preparing reports that include summaries of earnings, tax deductions, leave, compassionate leave and non-taxable wages
- Calculating payroll liabilities by determining employee taxes, including federal and state income and social security tax, and calculating employer’s payments for social security, unemployment and worker’s compensation
- Resolving payroll discrepancies and answering any employee payroll queries
- Maintaining all payroll operations according to company policies and procedures
- Processing and issuing W-2 forms to employees
- Provide employees with insight into payroll activities and work to resolve their queries, as needed. Familiar with office equipment and able to troubleshoot issues that may arise with the equipment
- Responsible for adhering to all government regulations and company standards
- Other relevant duties and responsibilities as assigned
Qualifications & Skills:
- Exceptional data entry, data cleaning, and math skills
- Excellent interpersonal communication skills, organizational skills and detail oriented to effectively handle multiple tasks
- Demonstrates problem solving, conflict resolution, critical thinking, and positive communication through teamwork
- Knowledge of legislation and procedures pertaining to salary deductions
- Adherence to all prescribed ethical guidelines, including confidentiality
- Strong sense of integrity
- Able to work independently
- Self-motivated and takes initiative
- Able to pass background checks
Education & Experience:
- At minimum High School Diploma or equivalent
- Completion of a bookkeeping or similar course is a plus
- 1-2 years of experience as a Payroll Clerk strongly preferred
Physical Demands:
- Ability to be physically mobile (stand, walk, reach, climb, bend) and also the ability to stand for prolonged periods throughout the day/work hours when needed
- Manual dexterity sufficient to operate medical equipment, keyboard, copier, telephone, and the ability to write/type
- Must be able to lift and/or move up to 20 pounds occasionally
