Program Coordinator – Diaper Bank

In the Diaper Bank Program Coordinator role, the selected candidate will assist with the development and implementation of program procedures to ensure that requirements are aligned to build sustainable support for impacting the lives of hundreds of residents, playing a critical part in the work and dedication of Community Action Partnership of Orange County’s initiatives. It’s leadership with a cause and the rewards are immeasurable!

WHAT YOU WILL ACCOMPLISH IN THIS ROLE

Primary duty is to assist and coordinate activities of the Diaper Bank in a collaborative manner, while acting as a representative of CAP OC for the community support programs. Ensure that goal objectives are accomplished within the prescribed time frame while working with a variety of partners and resources. This position is full-time and will work an office/remote hybrid schedule with a transition to 100% in office each workday.

 

ROLES AND RESPONSIBILITIES

  • Provide and support the Diaper Bank Manager in administrative duties that will assist with the continuation and growth of the Diaper Bank.
  • Develop, support and maintain regular contact with partner organizations to schedule deliveries and pickup of diapers and/or other products, create outgoing diaper orders, and assist with delivery schedules and diaper distribution sites.
  • Project coordination of marketing, social medial, outreach materials and communication activities of the Diaper Bank, collaborate with appropriate department(s) in creating, developing and communicating program activities.
  • Participation in and support all program events, along with coordination of volunteer events and opportunities.
  • Organize and maintain partner organization files to ensure appropriate documents are on file, completed and signed.
  • Assist with oversite of the electronic diaper inventory system to process incoming and outgoing diaper orders.
  • Provide technical support and training to partner organizations on the diaper ordering system.
  • Assist with reporting and funder requirements as needed.
  • Assist with pulling orders, deliveries, and other warehouse activities when needed.
  • Other program duties as assigned.

 

THE IDEAL CANDIDATE HAS KNOWLEDGE AND EXPERIENCE IN

  • Providing excellent customer service in order to maintain and grow relationships with participants, staff, vendors, and partners.

  • Proficient communication skills, both in oral and written forms, and have ability to communicate effectively in person, through emails, and over the phone.
  • Effective leadership skills such as planning and delivery, collaboration, problem-solving, and adaptability.
  • Project coordination in order to keep projects on track, meet deadlines, and work progressing.
  • Basic administrative skills such as setting up files, accurate filing, data entry, record keeping principles and methods.
  • Inventory systems, running reports out of the system, training others on using a system.
  • Analyzing and interpreting various materials to make recommendations, understand and apply program rules, regulations and procedures.

  • Mathematical: Perform mathematical skills sufficient to create, compose or compile information on computer or complete forms for reports or presentations.
  • Computer literate: Competently use the Internet, Web based databases, Microsoft Office (Word, Excel, PowerPoint, and Outlook) and other applications. Experience with virtual communication platforms such as Teams or Zoom. Competently use office equipment such as copiers, fax machines, cell phones, and projectors. Use a variety of computer databases to ensure that client records, statistics and reports are completed.


EDUCATION AND EXPERIENCE

High school diploma or GED required and 1 – 2 years combined experience in nonprofits, social service or project management is preferred. 1 – 2 years of college course work or equivalent education and/or experience is desirable.

TRAVEL

Possess a valid California Driver’s License with a driving record that meets minimum standards established by CAP OC insurance carrier, proof of insurance, access to a vehicle and willingness to drive/travel when required.

 

Typically, travel is local during the business day to/from CAP OC locations and incumbent will use personal vehicle. Possible travel may be during evening hours and possible out-of-the-area and overnight travel.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

 

While performing the duties of this job, the employee is regularly required to bend, stoop, reach, pull, push, stand, kneel, sit, twist, turn, walk, bend at the waist, talk and hear, prolonged and fine dexterity of fingers and wrists, vision abilities include close vision, distance vision, color vision, ability to adjust focus, prolong manipulation of fingers and wrists, and prolong computer work. Employee may stand or sit for extended hours throughout the workday. Work is primarily performed in a warehouse environment with variations in office temperatures based upon outdoor weather conditions. Employee may be called upon to work outdoors in varying temperatures and weather conditions. The employee must regularly lift and/or move objects up to thirty-five (35) pounds.
