Exciting opportunity for an enthusiastic medical office manager to work with an expanding family practice of 14 providers located in Malden, MA.
The Site Lead (Office Manager) works closely with the Business Manager and is accountable for overseeing the day to day operations of the practice support staff for the purpose of planning, organizing, assigning and directing staffing needs.
The Site Lead plans work schedules for the front desk, phone center, and nursing, medical assistants and other physician support assignments. The new team member will assist with onboarding and off boarding of all providers. The site lead will work closely with the billing coordinator to keep a pulse on billing and coding for the practice.
Responsible for assisting with record keeping, including attendance records, patient comments and complaints, and supply needs for facility. This role will ensure that all organizational protocols for workflow, handling patients, and adherence to policy are followed
May also have the opportunity to help with the design of such policies and universal protocols and with the site specific on-boarding training process for all personnel. The leader will take an active role in the implementation of new information systems for the departments and becomes an expert user.
The leader communicates effectively with staff and with physicians to proactively correct issues, misunderstandings, discrepancies that may affect patient care. Coaches staff to improve. Works with Business Manager to give feedback, both positive and negative, especially when progressive discipline is required.
Holds meetings along with the Business Manager to assess the “pulse” of employee engagement and takes appropriate measures to bolster employee morale. Works and strives to develop and maintain a cohesive team atmosphere. Associates Degree or 1-2 years of college required, Bachelor's degree preferred. High School diploma required. Extensive experience (greater than 5 years) may be used as a substitute for Associates degree. Three to five years' experience in a healthcare setting with prior experience in staffing and scheduling preferred.
Proficient in the use of Microsoft Word, Excel and Outlook. Ability to train and on-board new staff. Must possess excellent interpersonal and organizational skills, excellent leadership qualities and be a great listener. Must be detail oriented.
