The Facilities Coordinator supports the worksite location team members at all ComputerCare facilities directly and indirectly. They establish processes for order and organization, identify areas of opportunity for improvement, make improvements to the facilities themselves and maintain upkeep. A successful Facilities Coordinator optimizes the workplace to support every aspect of the business (most importantly the internal team) giving the company a steady foundation for success.
Essential Duties
- Ability to perform well in a fast-paced environment. Prolonged periods standing and walking throughout facilities.
- Basic understanding of or ability to quickly learn the equipment and facilities to be maintained.
- Ensure assigned facilities and equipment are ready for regular business.
- Act as liaison between employees and any outside contractors needed to resolve specialized problems.
- Receives, manages, and processes work order requests in our internal ticketing system; ensures problems are resolved quickly.
- Assists the leadership staff with planning functions for special projects pertaining to facilities needs.
Roles and Responsibilities
- Monitor the safety, security and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots, production areas and outdoor recreation spaces.
- Schedule routine inspections and emergency repairs with outside vendors.
- Assist with configuration and allocation of office space according to staffing, business and/or project needs.
- Coordinate and schedule inspection and maintenance on assigned equipment and facilities.
- Maintain files of warranties, records, licenses, inspections, service agreements, and contracts for various vendors and pieces of equipment.
- Maintain the inventory, storage, and distribution of equipment and supplies.
- Provide recommendations for purchases of new equipment, as needed.
- Applies, or assists with application, for required environmental and city permits.
- Facilitates and manages all aspects of assigned projects to ensure timely completion within available budgets.
- Coordinates and maintains all records of identified key and alarm code holders for facilities in partnership with the Human Resources Coordinator(s) and IT Department.
- Collaborates with Human Resources on the badge access maintenance for new employees and terminated employees.
- Provides clerical support when needed to assist staff with assigned administrative duties such as answering phones, sorting and distributing mail, checking in worksite location guests and visitors according to ISO9001 requirements.
- Other duties as assigned by management.
Qualifications
- 2 years experience in facilities coordination and/or office management.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Basic understanding of office management and institutional management practices and procedures.
- Proficient with Microsoft Office Suite or related software.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 50 lbs pounds at times.
Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
