What are the responsibilities and job description for the Executive Assistant/Client Liaison position at Confidential?
Immediate Opening: Santa Barbara healthcare consulting practice has an immediate opening for a full-time Executive Assistant/Client Liaison. The fundamental purpose of this position is to:
- Support our commitment to provide high quality, responsive service to our approximately 300 clients, and
- Maximize the principal consultant’s productivity.
The two primary functions of this position are:
Client Liaison:
- Timely and appropriately respond to questions and needs of clients that arise between appointments; facilitate timely, accurate, and efficient communication between client and consultant; ensure proper documentation and communication of interactions.
- Monitor and manage all email and telephone communication with clients.
- Answer/address all client questions/issues as authorized by the principal.
- Bring all other client questions/issues to the principal’s attention; ensure efficient access to all information needed to address each matter.
- Follow up with clients as appropriate/directed.
- Ensure correct filing/storage/retrieval of related/resulting emails/documents.
Follow Up After Consultations: Perform the following functions after each client appointment:
- Document open issues/follow-up items after each client meeting.
- Interact with clients re: follow-up and next steps.
- Schedule follow-up appointments.
- Update CRM and client’s file(s).
- Handle other follow-up items (case by case).
- Invoice clients and process electronic payments.
Background/Qualifications:
- Ours is a small business staffed by a team of four. Our clients come from all over the United States. All appointments are conducted remotely through a tele-conferencing platform.
- The functions of this position are primarily administrative and “customer service” in nature and does not necessarily require a background in healthcare or experience in a medical or similar office, though such experience is strongly preferred. Relevant experience could include senior level customer service representative, customer-facing executive assistant, mortgage processor, or legal secretary.
- Facility with both Mac and PC computers and proficiency using online/web delivered systems/tools/data is essential.
- This position requires a high degree of organization, the ability to multi-task, vigilant attention to detail, strong written and verbal communication skills, and the ability to perform in an often interrupt-driven environment.
Hours/Compensation/Benefits:
- Hours: Between 8:30 and 6:00 Monday through Friday.
- Compensation: This is an hourly paid position subject to overtime pay at time and a half. Starting hourly rate will be based on demonstrated skills and experience with increases based on performance.
