An East Bay urban winery is seeking a person to fill many shoes in our office. We are calling the position Office Manager, but titles are fluid in our dynamic, fast-paced small business. We are a very small business and everyone juggles many hats on any given day. Life at our winery is not dull!
We are looking for someone that thrives in a fast-paced, multi-faceted environment and has superior executive function skills with a can-do attitude. We would like someone with deep organizational skills that can bring a calming influence and order to our sometimes chaotic office. You must be empathetic, reflective and able to anticipate the needs of the staff you are supporting.
This is a full time position to support our office and be the conduit between our business and our remote accounting team. That means it is a bookkeeping light position but will involve the following in QuickBooks and our commerce system:
- Scan bills to our cloud service (Bill.com)
- Enter manual checks
- Record credit card transactions
- Handle petty cash
- Create invoices
- Receive payments
- Make deposits
- Gather payroll details (hours, tips, other)
- Run basic reports
For Office Management, these are a few of the myriad of tasks and projects:
- Heavy support for Director of Hospitality
- Heavy support for ensuring our commerce and compliance systems are in line with QB
- Product Entry
- Performance Reporting
- Calendar maintenance
- Filing
- Support quarterly wine releases events
- Assist with shipping orders
- Manage office and Tasting Room supplies
- Assist with quarterly wine and merchandise inventory
The ideal candidate is:
- Easy-going with a can-do attitude
- Flexible and able to work in a setting where priorities shift daily (hourly)
- Extremely organized, but can tolerate flexibility
- Excellent communication skills, both with the team and customers
- Able to conceptualize our various systems to understand how they work together (Ecommerce, Wine Club, POS, QuickBooks and an array of Google docs and forms).
- Skilled with Excel AND Google sheets and the rest of Google Suite
- Is comfortable with numbers. Enjoys problem-solving and researching to resolve accounting discrepancies. (For example, when a vendor sends a statement, can figure out if it matches)
- Knows the basics of QuickBooks
Job Type: Full-time
Pay: $25.00 - $27.00 per hour
