Under general supervision, this position, in compliance with state insurance department regulations, contract law, and company guidelines, performs and completes all aspects of initial or renewal agent contracting and appointment processing , including General and Managing General Agents and/or Managing General Underwriters. In addition to providing routine customer support to field offices/agents, handles states with complex guidelines for producers. JOB DESCRIPTION: Essential Duties & Responsibilities Performs a combination of duties in accordance with departmental guidelines: Acts as the licensing customer service contact for field offices, agents, enrollers, and/or processing teams by responding to routine and complex questions both verbally and in writing regarding licensing appointment status, appointment procedures, state regulations, and contracting procedures. In compliance with state regulations, identifies and processes all qualified and unqualified new producer, GA, MGA, and MGU appointments and contracts, both manually and electronically for submission to State Insurance Departments. Refers GA, MGA, and MGU appointments to management for approval. Builds and updates system records and notifies agent/agencies upon confirmation of appointment from the state. Receives and reviews state insurance department listings of agents' requiring renewal of appointment and reconciles with company agent records. Identifies and processes automatic renewals, e.g. individual production requirements for sales personnel. Performs complex agency record maintenance due to consolidations, buy-outs or assignments. Interfaces with original and newly appointed agencies and/or other third parties relative to business unit request to ensure compliance with state insurance departments. Prepares and submits to individual state insurance departments, the disposition of actions taken on agent renewal relative to state legal and regulatory guidelines and procedures. Satisfies statutory requirement for the performance of due diligence in hiring through the submission and receipt of background and/or investigation on agents. May determines if contracts submitted are allowed based on company guidelines. Generates and submits to management the report of 'Failed Investigations' on those agents not meeting company guidelines or who have questionable information contained in the background and investigative reports. Processes terminations and/or appointments. Updates system with renewals or terminations to effectively allow or deny new business processing to take place. Researches and corrects problems relating to agent demographic information e.g. address changes, name changes, transfers and license/appointment. Also, responsible for adjusting transfer dates, agent of record information, marital status, tax status, etc. Researches and corrects agent data problems and commission errors to satisfy contractual obligations adjustment of transfer dates of producers, level of compensation being paid, type of business, effective date of contract to ensure proper commission payment. 1. May assist in managing workflow, distribution of work and reports to ensure production levels are met. Reporting Relationship Supervisor Skills, Knowledge and Abilities 1. Knowledge and understanding of computer software applications, including MS Word, MS Excel, and the Internet. 2. Ability to employ strong customer service skills within a fast-paced, high-volume, team environment. 3. Good communication skills, both verbal and written. 4. Detail oriented with good math and organizational skills. Education and Experience 1. High School Diploma, GED or equivalent experience and two years experience in an office environment. 2. Typically a one to two years experience processing agent licensing appointments within the insurance field.
