What are the responsibilities and job description for the Office Administrator position at Continental Pools?
We are looking for a full-time Office admin to take over the front desk and admin duties for our Management and Service office in Burlington, MA. We provide contracts and services for approximately 120 pool facilities in MA and RI.
-Hiring for full time 40 hours per week, and able to work weekends as needed
Duties:
1. Take incoming calls, transfer or pass email/text messages to supervisors, regionals, construction, and staffers
2. Collect mail from the mailroom and send weekly packages with receipts/bills to Maryland headquarters
3. Welcome/direct visitors at the front desk
4. Sign for incoming packages and distribute accordingly
5. Explain and demonstrate the online portal system to new guards
6. Promote referral program within former and incoming guards
7. Help staffers with tracking of incoming guard paperwork
8. Daily check guard clock-ins
9. Log guard contact into communications within the system
10. Schedule pre-season blue boxes, notify supervisors and guards
Skills:
1. Proficient in Word, Excel, GoogleDocs
2. Willingness to learn our system software Salesforce
3. Friendly demeanor taking incoming calls and clients in the office
4. Strong attention to detail
5. Excellent organizational and multi-tasking abilities
6. Eagerness to learn phone and CRM logging system
7. Comfortable using Google Drive and Calendar to schedule interviews
8. Proficient in Microsoft Word and Excel
9. Confident cold-calling both prospective guards and desired returners
10. Punctual and proactive with time on the clock
