Primary Purpose
Provide clerical and office management services to the instructional services department.
Qualifications
Education/Certification:
High school diploma
Special Knowledge/Skills
Proficient keyboarding, technology, and file managment skills
Effective organizational, communication, and interpersonal skills
Ability to use desktop and laptop computer as well as software to develop spreadsheets, databases, and do word processing. In addition must be proficient with Word, Excel, Publisher, and Adobe. Willingness to learn DMAC, Canva, and Webpage.
Experience
Three years secretarial experience, preferably in a public education environment
Major Responsibilities And Duties
Personal computer, printer, scanner, fax, and copier.

Communicate effectively (verbal and written) and ability to operate personal computer.
Physical Demands/Environmental Factors

Major Responsibilities And Duties
- Prepare correspondence, forms, manuals, report cards, handbooks, purchase orders reports, requisitions, budgets, and other documents using a personal computer.
- Perform a wide variety of clerical support, including answering phones, recording messages, typing a variety of materials from brief verbal or written instructions, proofreading, filing and sorting, handling all incoming and outgoing calls & mail, and keep the Director of Curriculum informed.
- Assist in compiling information and preparing reports for the department. Provide administrative support to program director including, but not limited to, preparation of presentations, calendar management, and correspondence to staff, parents, students and community members.
- Maintain physical and computerized files. Complete a high volume of computer data entry work, using district computer programs, to input data with speed and accuracy, including confidential data, in an environment with constant interruptions.
- Compile, type, print, and distribute student handbooks, teacher handbooks, and special program material, including the digital publication of handbooks.
- Provide oversight of special projects.
- Maintain confidentiality of information.
- Schedule appointments and maintain director’s calendar.
- Make conference registrations, keep meals/ mileage logs and other reservations for director(s).
- Coordinate with director to prepare contracts, obtain signatures, and prepare requisitions.
- Order and receive supplies and instructional materials. Arrange for delivery of said items. Work with business office in clearing purchase orders and reconciliation.
- Independently answer routine questions and correspondence not requiring the supervisor’s attention.
- Other task and duties as assigned.
- Assist with the coordination and production of professional development opportunities district-wide. Including, making necessary arrangements for staff meetings, community events, and professional development training including date, location, and time, contacting those who need to attend; and sees that all materials are prepared on matters to be discussed.
- Secure and set-up venues for presenters for professional development sessions.
- Assist in the delivery of materials integral to training. Could involve lifting over 25 lbs.
- Assist department with District Site Based Decision Making Committee and Leadership Academy (take meeting minutes, post minutes, oversee website, correspond with committee members, make publications)
