Position Summary
The Operations Administrator is the central communications resource for the Operations and Safety departments, Fleet department and Vegetation Management department, the leadership within these departments, and all other internal departments and external entities dealing with Operations, Safety, Fleet, and Vegetation Management.
Primary Position Responsibilities
- Coordinates, manages and schedules the lineman Employee Development Program (EDP) and coordinates with the Job Training and Safety department.
- Creates and maintains operational standard procedure policies.
- Responsible for maintaining documents and materials for the Field Operations section of the Emergency Restoration Plan (ERP).
- Maintains a professional disposition, retains confidential information and uses good judgment.
- Responsible for supply inventory and processes associated with tool ordering and PPE.
- Assist Human Resources in communicating with field employees for DOT documentation.
- Manages reservation calendar for 124N conference room.
- Responsible for petty cash disbursement and receipts.
- Assigns, orders and dispenses Operational employee uniforms and PPE items.
- Manages lineman on-call response tracking system.
- Maintains and monitors the capital and operational budgets (Operations, Reliability & Integrity, Safety and System Operations) as it relates to variances, spending, allocations, and reporting.
- Assists the Director and leadership team in the budget planning and execution process.
- Accountable for operational invoice coding and authorization.
- Responsible for reconciling company credit card spending for Operations, Safety, and Fleet leadership.
- Office supply purchases and equipment procurement for all employees.
- Prepares memos, correspondence and reports as requested.
- Prepares Power Point presentations for training and/or meetings.
- Maintains Operations bulletin board postings with EDP Report, upcoming events and training schedules.
- Assists Safety Director with OSHA documentation for Electric.
- Assists with the purchase and inventory of AED devices and consumables, and all First Aid Kits.
- Oversees the AED account for compliance and reporting.
- Manages and maintains all new and current CoServ employee driver key fob and fuel card access.
- Arranges and assists with the yearly mass Fleet inspections.
- Manages the telematics database and all vehicle and user information.
- Creates and distributes monthly Fleet Inventory Reports for Accounting– Electric and Gas.
- Produces and maintains all CM&L, Fleet, and Vegetation Management cost center related dashboards.
- Works closely with the Corporate Records Department to properly store and maintain all original vehicle title work.
- Prepares and processes all necessary paperwork for Vehicle Title Applications.
- Oversees and processes all toll tag accounts and toll tag orders.
- Manages the Fleet Vehicle Registration Renewal program with the State of Texas.
- Creates monthly Board Reports for Safety – Electric.
- Creates and maintains operational organizational charts.
- Responsible for Director and leadership scheduling logistics including hiring, business meetings, employee training and company events.
- Coordinate’s travel and training for all Operational, Safety, Fleet and Vegetation Management employees.
- Attends and produces meeting minutes and monthly reporting as requested.
- Communicates and or responds after hours or work extended hours to ensure safe and sound business practices are being executed.
- Plans and executes all Operational, Safety, Fleet and Vegetation Management EAA events.
- Works in the most efficient way possible with all CoServ departments and divisions.
- Complies with established CoServ safety and operating rules, procedures and guidelines including reporting unsafe practices to a supervisor.
- Complies with established CoServ Information Security Handbook, policies, procedures, and guidelines including reporting suspected information security incidents to Tech Support.
Secondary Position Responsibilities
Acknowledges review of CoServ Employee Handbook and Safety Manual.- Advocates procedural and policy changes to improve operational efficiency.
- Represents CoServ in a professional manner.
- Attends approved professional development conferences, seminars, and workshops.
- Attends regular Operational leadership meetings.
- Attends monthly Safety meetings.
- Attends CoServ University training as required.
- Takes on any supervisory and or team leadership roles within the Operations department as directed by management.
- Tracks employee PTO and e-time department coordination.
- Performs other duties and activities as directed.

Position Requirements
Education and Certifications Required
High School Diploma or G.E.D equivalency.
Education and Certifications Preferred
Associate’s Degree or Bachelor’s Degree.
Experience Required
Five (5) years of administrative or office management experience.
Experience Preferred
Experience in electric and/or gas utility.
Skills and Abilities Required
Ability to work in an office environment.- Excellent human relations and communications skills, both written and oral.
- Knowledge of and skill in using Microsoft Word, Access, Excel, PowerPoint.
- Knowledge of basic mathematics.
- Ability to work independently, with minimum supervision, and in teams.
- Ability to work under strict deadlines and has strong problem-solving skills.
- Ability to prioritize and manage multiple tasks.
- Ability to use standard office/business equipment in a safe manner and observe all safety rules and regulations.
