REPORTS TO: Site Office Manager
THE POSITION
Under the direct supervision of the Site Office Manager, the Site Administrative Assistant is responsible for answering telephones, ordering supplies, mailing and shipping, coordination of meeting, data entry, proof-reading/editing, reproduction of materials for meeting and distribution, reports, and other assignments as required.
Responsibilities:
- Provide high level administrative support and complete special projects for the location/site and wider Company.
- Assists in scheduling meetings/conference calls for the location/site and wider Company.
- Performs Clerical / Technical duties to include answer telephone, relay messages and responds to queries as appropriate.
- Prepare materials needed for meetings, such as agendas, handouts, binders, etc.
- Prepare reports/correspondence
- Order's office supplies as needed
- Assist with event planning
- Attend meetings and transcribe minutes.
- Assist the location/site and wider Company in handling the Company's confidential affairs.
- Update contact information for the location/site and wider Company's management staff.
- Oversee the distribution of the department mail; redirect and refer mail to appropriate site or person.
- Schedules appointments for Director of Operations
- Acts as a support person to the Sales and Accounting departments as needed.
Additional responsibilities:
- Maintains the confidentiality of all correspondence and files.
- Approach changes in a positive manner.
- Make suggestions for improving work conditions to the appropriate Supervisor.
- Maintain composure in stressful situations.
- Perform other related duties as required or assigned.

THE PERSON:
- You have a strong work tenure: minimum 5 years' experience as Office Assistant, Entertainment and Media a plus; experience working at a global organization a plus.
- You are highly organized and enjoy problem solving.
- You have the ability to work in a fast-paced environment meeting deadline and you can be adaptable to various competing demands.
- You have excellent communication skills both written and verbal.
- You thrive on delivering excellent customer service.
- You have strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- You are a team player with the ability to build relationships with all levels of employees, as well as outside contacts.
- You have proven ability to handle confidential information with discretion.
- You are highly proficient with all modern business and communication related software - including the MS Office suite of business tools and virtual collaboration software.
