Fund: General

FLSA Status: Non-Exempt
Reports To: Expo Director

Job Status: Full-time/ hourly
Travel Required: Occasional in County travel Some nights and weekends may be required

Work Schedule: 40 hours/week. Hours may flex depending on demand.
Minimum 30-minute lunch break per day

Position Summary: Under the direct supervision of the Expo Director, the Office Manager performs a variety of clerical and administrative support duties of medium-high complexity. This position will assist in event planning and production, general cleaning, website and social media platform management and inventory management.

Essential Function Statement(s)

  • Update the Expo Center website, LED sign, event calendar, newsletters;
  • Assist with social media accounts;
  • Complete forms, letters, invoices, purchase orders, event records, monthly reports;
  • Maintain files of correspondence, forms, reports, and other materials;
  • Coordinate purchases, and production notes, maintain inventory records, and schedule repairs as directed;
  • Assist with event planning and production;
  • Answers telephone and takes messages;
  • Answer public inquiries and give facility tours;
  • Collect, open, and distribute mail;
  • Assist with event scheduling and agreement facilitation;
  • Makes arithmetic calculations of medium complexity;

MARGINAL FUNCTIONS

  • Other related duties as necessary or required.
  • Occasional janitorial assistance.
  • Assist in the setup and tear down of drapes and other facility equipment.

Position qualifications

  • Pass a post-offer/ pre-employment drug screen
  • Possess valid drivers’ license
  • Eligible to work in the United States.

SKILLS & ABILITIES

Experience: More than one year of secretarial/administrative assistant experience, including the use of Microsoft Office software. Marketing and or Hospitality helpful.


Education: High School diploma or equivalent is required.


Skills: Strong grammar skills including the ability to proofread others' writing. The employee must have the ability to operate a computer, copy machine, calculator, and other related office machines. Good interpersonal communication skills, written communication skills, and organizational skills. Bilingual English/Spanish skills are desirable.


Problem Solving: Problem-solving in this position relates to the setting of priorities;


Decision Making: Decision making is required to determine the best method of disseminating information presented.


Accountability: Employee is not responsible for budgetary control of the department and does not participate in the annual budget process.


Supervision: Job assignments are reviewed by the Director; this position does not have supervisory responsibilities over subordinate personnel, but may assign tasks per Director’s instruction.


Personal Relations: A heart for superior customer service. Contact with county employees and the general public. Working as a cohesive team willing to share knowledge and expertise.


Working Conditions: Some physical effort is required. Occasional evenings and weekends will be required as well as some exposure to weather conditions.

We are looking for someone who enjoys sharing ideas and finding solutions to make sure our event producers and guests enjoy their experience at our facility. This person should enjoy talking to strangers and promoting our venue. The office manager is a vital part of the success we are building. Many of our events are held on the weekends, but we alternate staff so that none of us work every weekend.

The pay range is wide, but will be based on experience and qualifications.
