What are the responsibilities and job description for the Program Operation Specialist position at Covenant House Northern New Jersey?
This position provides the first point of entry for the agency and as a role model serves all with absolute respect and unconditional love. The Program Operation Specialist must welcome all guests and youth who access Covenant House services both in person and by phone. The Program Operation Specialist serves as the “hub” for all building traffic flow and community sanctuary.

- Welcome all with absolute respect and unconditional love. Greet all youth, volunteers, and visitors in a welcoming manner and determine their purpose to assure building safety and appropriate agency responsiveness.
- Become familiar with youth that are residing within the Crisis Center. Assist them in their building movements. Engage youth programming and deter loitering
- Vigilant of outside activities including public pedestrian traffic to maintain safety and sanctuary, modifying youth activity accordingly.
- Continuously monitor cameras to ensure youth child protection compliance.
- Intercede and assist in any immediate crisis issues, utilize de-escalation skills, while connecting with staff and leadership on shift for collaboration and support.
- Conduct youth intakes and complete appropriate electronic and written documentation; ensuring that all paperwork is completed, placed in case file, and information is entered into ETO.
- Administer youth medication as prescribed, document in medication logs and ETO; and maintain confidentiality according to Child Protection policies.
- Read youth progress notes daily and document all youth interactions and progress in ETO when appropriate.
- Meet with overnight staff to transition any pertinent information and review staff tasks to ensure continuity of the morning shift and shift transition for youth activities of the day.
- Notary Public Services: Notarize applications and letters verifying youth’s identity to further their case plan goals as needed

Maintain youth residential waiting list which includes:
- Recording a youth’s name and contact information when they call or text via the kNOT.
- Connecting with youth via call or kNOT message when a bed becomes available.
- Moving youth’s information to the archives document if they are no longer interested in residential services or have been in took.
- Monitor and respond to kNOT messaging when assigned.
- Provide community resources and referrals, either in person or on the phone, for those who do not meet Covenant House eligibility requirements.
Administrative Responsibilities
- Answer the main agency phone line in a manner that conveys immediacy and respect to all who call. Direct calls to appropriate locations and take messages when needed.
- Receive agency mail, separating youth mail from agency mail, placing agency mail in safe, sort youth mail to identify TLP youth, current crisis youth mail, and former youth RTS.
- Receive, log, notify recipient via email and store all packages.
- Maintain all Vehicle Logs and keys for agency vehicles. Manage vehicle usage and keys, ensuring log is completed and child protection is considered with all travel in agency vehicles.
- Work with Facilities team on receiving packages and deliveries, moving items away from desk to clear area.
- When we wish to accept donations, provide donor receipts, have items moved to secure and appropriate locations quickly. Ensure that the front building area remains safe and clear of items.
- Ensure that volunteers and visitors are identified and signed in.
- Assist with various administrative duties that include special projects, reports and correspondence and mailings.
- Uphold sanctuary and confidentiality of all clients.
- Assists as needed with fundraising affairs and special projects which could be conducted outside of the employee’s normal work schedule.
- Required to check company email daily.
- All other duties assigned by management staff.
Qualifications:
- High School Diploma or GED, college degree preferred.
- Excellent communication and crisis management skills and the ability to handle physically challenging situations.
- Excellent assessment and judgment capabilities.
- Valid driver’s license with an insurable record.
- NJ Notary.
- Applicant's Must be available to work Monday thru Friday 8:00 AM - 4:00 PM.
- Applicant MUST be fully vaccinated for Covid 19.
