Position Overview:
Apollo is seeking a Property Assistant & Transaction Coordinator to join its Net Lease business. This role would work closely with our property manager and lease manager in providing assistance to both groups. This integrated platform, established in 2018, currently manages approximately $3 billion in AUM, and targets the acquisition of net lease portfolios and single assets. The platform seeks to build a portfolio diversified by both geography and tenancy, while targeting attractive risk-adjusted returns. The role will require interfacing with tenants, third party providers, and governmental agencies, and is an excellent opportunity to become part of a small but growing entrepreneurial team focused on further building a strong market presence.
Primary Responsibilities:
Property Management:
Assist with property management acquisition tasks
Roof leak calls
Code property invoices and forward for payment
Initial review of tenant maintenance requests
Draft vendor work orders
Draft vendor contracts
Create and maintain tracking sheets for property management programs – recurring property roof inspections, new acquisition property management checklist tasks, rotating property inspections and reports, deferred maintenance program (once formulated and launched)
Obtain proposals for capital work
Assist with property budget process
Assist with administering budget for Apollo managed properties
Assist with managing Apollo managed properties
Special projects
Lease Administration:
Update and maintain lease and property databases and spreadsheets
Track status of property and lease inquiries from tenants and third parties and follow-up as needed
Assist with the tracking and management of insurance documents including basic review to ensure compliance
Assist with tracking property taxes, assessments and appeals and follow-up with tenant and taxing authorities to resolve any issues and ensure no delinquencies
Manage filing system that includes cloud-based, share drive, and hard copy files
Collect and submit invoices for payment, and allocate the costs to specific properties/leases
Communicate, as needed, with tenants, third party vendors, governmental agencies, and other external parties
Review and process, as warranted, hearing notices and public information meetings and documents
Forward property taxes, zoning notices, lien notices, third party utility bills and other mail items to tenants and follow up as needed
Prepare tenant and property packages for team travel and onsite visits
Prepare, distribute and track CAs/NDAs for potential dispositions
Assist with review of quarterly valuation reports for accuracy of property and lease data points
Follow-up with tenants on sales reports when due
Work with team to implement procedures, policies and projects to maintain and improve property management and lease administration work processes
Qualifications & Experience
Bachelor’s Degree with two (2) plus years of commercial property management experience
Ability to read / analyze and interpret industry related documents, legal documents, lease documents
Ability to develop and maintain superior relationships with vendors and tenants
Proficient time management / prioritizing skills
Ability to identify and resolve problems skillfully and juggle competing demands
Exceptional written / oral communication skills
Highly organized, detail-oriented, and professional attitude
Ability to collaborate with colleagues while exercising independent judgment
Collaborative and team-oriented work ethic
Working knowledge of Microsoft Office suite (Excel, Word, PowerPoint and Outlook)
