Role Summary
The incumbent is responsible for the day-to-day execution of administrative activities associated with enabling Vendor Managers to deliver required reporting, tracking and monitoring of employees’ performances. This includes, but is not limited to, assisting with invoicing, scheduling, routing and quality assurance in an efficient manner so that customer satisfaction, vendor quality and field productivity goals are met.
Primary Responsibilities and Essential Functions
- Acts as a support resource for Vendor Managers, Vendor Specialist and QA Techs.
- Executes and follows-up on day-to-day vendor contract requirements as outlined by Vendor Specialists and Vendor Managers.
- Work as a liaison between Vendor Management and the Director of Field Operations to track and report cross-functional initiatives that impact vendors.
- Tracks and generates reports in support of Vendor Managers and Specialists to ensure the team drives consistent execution among the vendor community, Vendor Specialists, and QA team.
- Proactively tracks and monitors vendor performance reports for each Vendor Specialist, providing feedback on potential areas of focus across vendor companies.
- Identifies and reports unfilled gaps in productivity, time slots, inefficiencies, late or unfinished tasks; takes the lead to assign customer escalations to Vendor Houses, and tracks actions taken to resolve customer concerns.
- Tracks vendor active/inactive badges to ensure compliance.
- Manages daily/weekly vendor support requirements including, but not limited to: Vendor Specialists, QA Technicians and Vendor Houses.
- Identifies and responds to issues that could present safety concerns to Technicians, Vendor Houses, or customers.
- Contact Vendor Houses as necessary regarding: customer appointment verification, priority or same day scheduling requests.
- Tracks and balances Vendor House Comp accounts.
- Communicates with customers, vendors and boundary partners in support of the resolution of open issues and to ensure business needs are met.
- Reviews reports and highlights any high-level trends or performance gaps related to quality, productivity effectiveness, and NPS (Net Promoter Score).
- Serves as resource support for vendor companies regarding Cox tools and processes to ensure open questions are answered promptly.
Qualifications:
Minimum:
- HS diploma, GED or relevant work experience
- 2 or more years of experience required in related field
- Requires strong knowledge of telecommunications and telephony vendor management experience, experience interacting with senior management and working with large contracts. Excellent written and oral communications skills, ability to work in a team that is successful in influencing others, good organizational and prioritizing skills, advanced knowledge with MS software packages including Excel, Word, PowerPoint and MS Access
Preferred Qualifications
- BS/BA and generally 2-4 years of experience in related field
- Strong knowledge of business software such as Oracle
- Experience coordinating Vendor Management activities
