Scheduled Hours 40 Position Summary This position performs advanced secretarial duties, such as typing medical dictation requiring substantial use of medical terminology and maintains physician’s schedules. Job Description Primary Duties & Responsibilities Manages data entry in electronic medical records and tracks completion. Maintains nurses’ and physicians’ daily appointment schedule and calendar, schedules meetings, arranges conference calls, reserves catering services, makes travel arrangements, and completes travel expense reports. Ensures productivity by announcing scheduled patients and informs nursing staff of any walk-ins or schedule changes. Maintains daily logs and records. Compiles and records medical charts and correspondence using database. Tracks referral physicians’ services to verify proper documentation has been received. Collects and enters immunization records and forms in office database. Coordinates with nursing staff to ensure all incoming students’ pre-matriculation requirements are completed. Schedules appointments and procedures for patients. Prepares patient charts, including delivering work-ups. Greets visitors, answers telephones, takes messages, and screens patient inquiries, providing information according to departmental procedures and policies. Serves as liaison between patients, providers, physicians, and staff, providing routine information to patient inquiries. Assists administrative/clinical staff during peak times, vacations/illnesses. Assists with retrieval and delivery of reports, films, etc. Tracks and maintains documentation of imaging and cytology orders to ensure completed timely and manage reporting. Maintains patient confidentiality at all times, following HIPAA guidelines. Preferred Qualifications Two years of college or business school. Ability to type and use various software packages. Working knowledge of medical terminology. Effective verbal, written and interpersonal communication skills. Demonstrated decision-making skills and ability to work independently. Working knowledge of general office equipment and computers (specifically Microsoft Office). Required Qualifications High school diploma or equivalent high school certification. Three years of related experience in a medical office setting. Grade G06-H Salary Range $17.14 - $25.70 / Hourly The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
