Tax & Accounting practice in La Palma seeks a very strong communicator to fill the position of Practice Manager. This is a team of about 30 to 35 and the Operations Manager will be responsible for personnel performance, conflict handling and ensure work is turned around in a very efficient and expeditious manner.

Purpose & Description of this role:

  • To manage the internal day-to-day operations of this tax and accounting practice for the owner which will free her up to focus on firm growth and vision
  • Make full use of our existing practice management software program capabilities to track all work in the office, ensure work is assigned to the appropriate team members and that they are meeting due dates to deliver the work to clients
  • Evenly distribute work between staff members/move work around so some are not overloaded while others do not have enough to do
  • Increase efficiency by streamlining systems to save time, introducing new policies as needed, to ensure that billable staff are maximally billable throughout the day
  • Human resource role in ensuring all staff are meeting deadlines for work; are hitting billings goals, providing quality work, as well as conduct annual staff reviews
  • Assist with building out industry standard compensation and benefit structure
  • Assist with bonus structure for all employees
  • Works with Firm Administrator to ensure all employees have a metrics and are meeting their goals.
  • Ensure staff morale is high. Provides day-to-day performance management support e.g., coaching, counseling, career development, disciplinary actions.
  • Managing staff as regards any performance issues and ensuring these are handled and no longer an issue

Duties:

  • Responsible for payroll, keeping vacation logs, health insurance renewal, office policies etc.
  • Conducting staff meetings to introduce new policies and procedures; as well as communicate the owner’s vision of how she wants the practice to evolve
  • Meeting one-on-one with staff to handle any performance issues and resolve
  • Ensuring clients are billed timely and bills are also paid prompt
  • Suggesting policies and procedures that will increase efficiency and improve service to clients, as well as profitability
  • Check in and oversee managers to ensure:
  • Tracking of all work in the practice and reporting status to owner several times a week
  • Manage the process of getting information from clients so that we can complete their work
  • Manage the front office, including the receptionist and ensure client calls are handled correctly
  • Understand the human capital needs of the firm
  • Recruitment - Post job ads and develop relationships with potential staff
  • Makes contact with local universities for potential recruitment activities
  • Host Meet the Firm Events

Qualities:

  • At least 5 years of leadership and management experience in a similar role
  • Bachelor’s degree in Business Management, Business Administration or related field (however, will accept work experience in lieu of specific major)
  • Ability to think like an owner so as to ensure the continued growth and prosperity of the practice
  • Can-do attitude and a team player who is willing and able to perform a multitude of various duties to keep the practice running smoothly
  • Outstanding organizational skills with the ability to multi-task
  • Excellent attention to detail and problem-solving skills with the ability to research solutions to problems and propose best option to owner
  • Excellent communication skills – very tactful so as to be able to handle sensitive staff matters as well as client issues
  • Career focused with the ability to work a flexible schedule to oversee operations

Upshot: The successful candidate will be the owner’s right-hand person, will meet regularly with the owner to assess practice performance and make sure progress is being made. The owner is looking for someone who can work closely with her, who understands her needs and helps her manage her team, so everything runs like clockwork!

Pay: $80,000.00 - $100,000.00 per year

Education:

  • Bachelor's (Preferred)

Experience:

  • Team management: 3 years (Preferred)
  • Working in a CPA or Law Firm: 3 years (Preferred)
