Position Summary:
The Human Resource Assistant provides administrative and clerical support for the Human Resource department. In addition to typing, filing and scheduling, this position is responsible for performing duties such as coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, greeting visitors, staff and physicians and works on special projects. The HR Assistant is responsible for creating, coordinating and executing all assigned HR events partnering with the marketing department to build an effective communication strategy around those respective employees events. The HR Assistant also answers correspondence and assembles highly confidential and sensitive information.The HR Assistant is also responsible for maintaining the hospital's computer based learning system and administrative/human resource duties as assigned. This position will provide front line customer service to employees, patients, volunteers and visitors.
Position Requirements:
- Licensure/Certification/Registrations: Valid Colorado Driver's License.
- Education: High school diploma or equivalent required; College degree relevant field strongly preferred.
- Experience: 1–3 years of experience as an administrative assistant required, 3–5 years preferred. Experience in a Human Resource department and event planning strongly preferred.
- Skills & Abilities: Must be able to work successfully with interruptions throughout the day. Excellent organizational skills. Outstanding written and oral communication skills, Ability to work independently but also collaboratively as a member of a team. Ability to organize, prioritize and meet deadlines, while effectively managing multiple projects simultaneously. Ability to successfully handle multiple priorities, prioritize appropriately and manage frequent interruptions. Good problem-solving skills, detail oriented and excellent follow-through. Ability to relate to persons of all ages and diverse backgrounds, skills and abilities. Ability to present self in a personable and professional manner. Must be able to successfully and effectively communicate with a variety of personnel. Ability to deal with diverse and confidential information with discretion and good judgment. Basic proficiency in medical terminology. Must have strong computer skills and be proficient in all Microsoft Office products.
Essential Functions:
- Provide secretarial and administrative support to the department while maintaining a high degree of professionalism and confidentiality.
- Receives/screens/make telephone calls maintaining high levels of customer service and professionalism and records messages for the department appropriately.
- Schedule appointments, manage the calendar, and handle all travel arrangements for assigned staff.
- Interact daily with staff, patients, families, volunteers, donors, other organizations, and the general public and serve as a resource and referral source.
- Coordinate internal, external meetings/teleconferences/events including scheduling, logistics/arrangements for meetings, gathering/distributing meeting materials, hotel contract/invoices/payments, minutes, evaluations, addressing attendee requests, etc.
- Responsible for administration and secretarial duties concerning correspondence, minutes, reports, agreements, audiovisual needs and other documents.
- Create, coordinate and execute special Hospital events such as, but not limited to, Employee Awards Banquet, Random Acts of Appreciation, Hospital Week, 25 Club, Summer Picnic, etc.
- Create new ways to engage staff through events and assist in developing new recognition events.
- Partner with leadership team in designing and executing activities designed to enrich morale and employee engagement. Support leadership to recognize and demonstrate appreciation to employees in a consistent manner.
- Serve as the point-of-contact, maintaining and updating the Computer Based learning education system for all departments managing system material requests, production control and issues resolution and reports as requested .
- Routinely enter in events/classes, record attendance, upload learning modules and run reports as requested.
- Create written and multimedia content that contributes to holistic HR/OHS/Training and Development communication plans that engage and enable staff and keep them connected to staff initiatives.
- Partner with Marketing and Media department to craft dynamic and effective communication and web pages, ensuring brand alignment and that tone and key messages are aligned with hospital marketing initiatives.
- Perform general office duties such as typing, flow of correspondence, requisition of supplies, maintaining office equipment and environment, faxing, maintaining training and competency packets, ensuring the availability of appropriate forms/paperwork, processing all mail, etc.
- Manage the tuition reimbursement program, ensuring proper documentation and timely processing of reimbursements.
- Assist in other HR and OHS related functions, seeking out ways to provide support in the areas of employee benefits and services, employee relations, compliance, safety and health, recruiting and orientation.
- Assist with typing, designing and preparing information such as general correspondences, memos, charts, tables, graphs, grant applications, publications, presentations, business plans, etc. Proofread copy for spelling, grammar and layout, making appropriate changes.

Pay Range: $20.56/ Hour - $29.61/ Hour
