Payroll Specialist

Summary:
The Payroll Specialist will have experience and be responsible for managing payroll for all employees, across multiple companies, as well as maintaining employee and salary databases. This position requires a comprehensive understanding of payroll tax laws, wage policies and human resources administration. This role will also cover other administrative projects as assigned to help support the Accounting and HR teams.
Essential Duties and Responsibilities:
- Prepare and process regular payroll information on a weekly basis as well as bonuses and off cycle checks when necessary.
- Collect banking information for direct deposit setup and initiate deposits on paydays.
- Have a knowledge of and keep current with the taxation of salaries, benefits and other factors.
- Process, submit and monitor garnishment, child support, levy orders and other issues that impact payroll specifications.
- Maintain and document all payroll records.
- Reconciliation and creation of general ledger transactions regarding payroll.
- Detect and process issues with uncollected payroll items.
- Respond to employee inquiries regarding payroll issues, policies, procedures, or concerns.
- Performs biweekly hours and overtime audits.
- Keeps abreast of the payroll processing system and applies changes as appropriate.
- Prepares follow up for Stop Payment requests, manual check requests and associated system updates.
- Establishes and maintains a positive working relationship with all staff and management.
- Reconciles each payroll deduction category making updates when necessary (Health, Ancillary Benefits, 401k, etc).
- Participates in all benefit audits annually.
- Accurately entering employee information into our HRIS system.
- Maintains human resources records.
- Perform other duties as assigned.

Qualifications

Education and/or Experience
- 3 years of payroll administration experience for a company with 100 employees, or a bachelor’s degree in a related field.
- Ability to multitask under minimal supervision.
- Strong organizational and mathematical skills.
- Excellent knowledge of word processing tools and spreadsheets.
- Great attention to detail.
- Ability to maintain confidential documentation.
- Excellent interpersonal communications skills, a strong focus on top notch customer service, as well as demonstrating good decision making and judgment.
Language Skills
Ability to read and comprehend written and verbal instructions, short correspondence, and memos. Ability to write clear communication. Ability to effectively present information in one-on-one and small group situations.
Technology Skills
The incumbent must be familiar with the practical use of technology and computer programs such as email and other local used programs allowing the incumbent to utilize the technology to regularly communicate with others. Required computer skills include an intermediate knowledge of spreadsheet software such as Excel and the ability to learn industry specific software.
Mathematical Skills
Basic math skills including counting; rounding; and basic estimating of distance measurements. The ability to make accurate measurements using basic tools such as tape measures, rulers, and scales, etc. The ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Reasoning Ability
Ability to apply common sense understanding to carry out simple one-or two-step instructions. Ability to deal with standardized situations with only occasional or no variables.
