Travel Coordinator
The CSI Companies is actively seeking a Travel Coordinator to join our HCIT Division in Jacksonville, Florida. In this position you will be responsible for the timely coordination, management, and tracking of travel arrangements and accommodations in accordance with the approved budget for each project. Composes and communicates accurate itineraries in advance of travel; resolves travel issues expeditiously. Maintains vendor accounts and ties travel expenses to hotel and rental car invoices. Supports and collaborates with Logistics Project Manager, HCIT Delivery Manager, and Activation Coordinator to ensure travel readiness for Go Live projects.
Responsibilities:
- Serves as the primary contact for travel arrangements for Go Live projects, arranging short-term mobilization for suitable accommodation, in addition to travel for consultants outside of Go Live Projects (i.e., Training and TDR projects).
- Ensures that air, hotel, and transportation arrangements are tracked and included in the project file.
- Communicates continually with Go Live Consultants regarding travel and provides final itineraries.
- Resourceful with resolution of all travel issues, which requires periodic evening and weekend availability.
- Tracks hotel expenses, reconciling travel costs, and ensuring expenses from the hotel tie to the project file.
- Liaises with the hotels to make sure they have all the necessary information to make sure the rooms are ready, and we communicate with the PS Team to ensure we can make the deadlines for each project.
- Provides travel expertise to HCIT Delivery Manager, Sales Managers /Directors and Recruiters by participating in meetings/calls, answering questions, and researching outstanding questions.
- Travels, upon request, to location for large Go Live projects to assist project manager with the distribution of supplies, documents, and information.
- Aligns with CSI’s and clients’ diversity and inclusion initiatives.
- Continues professional development to enhance understanding of travel industry methods, trends, and strategies to reduce travel expenses.
- Performs other duties as assigned or required.
Qualifications:
- Bachelor’s Degree (may consider the experience in lieu of degree)
- One to two years travel coordination experience preferred.
- Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Demonstrates strong initiative, is self-motivated with an ability to work independently.
- Strong attention to detail while handling a large volume of documentation
- Exemplary customer focus, with an ability to establish credibility and rapport quickly
- Excellent communication and presentation skills
