Cugene is seeking an exceptionally bright, multi-tasking, and positive individual to join as a member of the administrative and operations team. This is a great opportunity for an entry-level position into a fast-paced start-up Biotech company, where culture and innovation are at its core.
The candidate will be the primary front desk personnel to liaise with vendors, employees, and guests who visit the office, receive mail and package deliveries, and provide clerical support to various departments within the company. This role will also assist with logistics and company events, in partnership with administration and operations team. The ideal candidate will have the ability to work independently on assigned tasks as well as accept direction on given assignments and deliver consistently superior service.
RESPONSIBILITIES
- Manage reception area, welcome all employees, visitors, vendors, and candidates, greeting everyone with utmost professionalism
- Answer incoming calls, take messages, and direct them to appropriate party
- Manage correspondence (e-mail, letters, packages, etc.) by handling and distributing incoming/outgoing mail
- Maintain appropriate front desk security and safety measures
- Receive, sort, and distribute packages to respective departments
- Track and record packing slips for all deliveries
- Prepare conference rooms; facilitate meal service and catering needs
- Assist with onboarding support for new hires
- Manage overall office maintenance and organization while overseeing day-to-day office cleanliness
- Conference room calendar management
- Serve as the company contact for all incoming guests and incoming callers
- Maintain appropriate front desk security and safety measures
- Assist administration with event planning
- Provide support to staff with other related clerical duties such as scanning, photocopying, faxing, filing, and binding presentations
- Provide ad hoc support on special projects
- High School Diploma or GED required; undergraduate degree preferred
- Strong computer skills with a demonstrated proficiency using technology including Microsoft Office Suite, Adobe Acrobat, and others
- Minimum one year of experience as an administrative assistant or receptionist
- Experience working at a biotech/life science company is a plus
- Maintains confidential attitude and is able to work independently with utmost discretion
- Exceptional interpersonal and communication skills (both oral and written)
- Ability to interact professionally with executive stakeholders and colleagues
- Demonstrated organizational skills and basic commercial intelligence
- Multitasking and time-management skills, with the ability to prioritize tasks
