While the primary focus of the Contract Specialist will be on the management of the domestic and international sub-consulting program, this position will also conduct contract reviews and perform related contract administration tasks. The Contract Specialist should have experience with contract administration, contract reviews- legal and commercial, contract negotiation, insurance coverages, and various contract types and forms.
Responsibilities
- Report to Director, Contract Administration
- Manage the subconsultant purchase order system
- Maintain strong understanding of contracting process and contract issues, including terms and conditions and applicable laws and regulations
- Work with in- house counsel and other Department members in support of legal and contract management
- Analyze and negotiate contract requirements and terms and conditions to ensure compliance with appropriate laws, regulations, corporate policies, and company objectives
- Conduct timely reviews of all contracts, change orders and modifications
- Ensure that all contract changes (e.g., extensions) are recorded and communicated with the appropriate staff
- Establish and maintain contract tracking processes and policies
- Evaluate and support the client bidding and proposal process taking into account contractual, compliance, business, and financial considerations
- Assist in drafting and negotiating consultant contracts in coordination with other Department members
- Demonstrate strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow
- Foster positive working relationships with clients, contractors, vendors, peers, and senior management
- Be highly motivated and organized; customer-focused; and have ability to handle a fluctuating workload and multiple priorities
- Collaborate closely with the Accounts Receivable team and provide billing support as needed
- Perform other contract administration duties that are reasonably associated with the essential functions as identified herein or as required by the Department
- Prepare contracts, amendments, addenda, terminations, and close out documents, while diligently maintaining contract and project records.
- Manage contractor and lower tier subconsultants vetting, procurement, contracts, and compliance.
- Assist in other areas of Department responsibilities, as needed.
- Assist with the implementation and continuing development of the Company’s risk management program.
- Educate Team members regarding nature of risks and assist with negotiation of contracts and agreements with clients and subconsultants.
- Review, draft and update various standard Company templates
- Coordinate with insurers regarding appropriate insurance coverages and Company’s compliance therewith.
- Provide robust support for client management, vendor relationships, and client account registrations as needed
- Create projects within the accounts receivable database.
- Exhibit proficiency in navigating and efficiently working across multiple software platforms and networks including:Microsoft ®, Office 365 (Word, Excel, Outlook), Smartsheets, Adobe Acrobat Pro,Vantagepoint ERP, Cosential, SharePoint, Coupa Supplier Portal, Ariba, Oracle, and NexGen
Qualifications
- Possess a Bachelor’s Degree in related field or equivalent field experience. A combination of education and work experience will also be considered in lieu of degree
- Exhibit strong written and verbal skills
- Have a minimum of 5-6 years of experience in contract administration and management in a corporate environment.
- Having prior experience with general accounting, business finance, law, and contracts is also desired.

- Demonstrate the ability to manage multiple tasks and be flexible
- Be accurate and organized
- Demonstrate strong written and oral communication and team skills.
- Receive work direction and work independently with a willingness to quickly learn and apply new skills and abilities.
- Must be dependable, consistent, diligent, and thorough.
- Be creative and resourceful in completing tasks accurately within a compressed timeframe
- Perform other related contract duties assigned by manager.
